Why this role matters

The Exhibition Coordinator will support the Exhibition Manager and Gallery Operations Team with exhibition preparations both in the galleries, and on various systems, alongside other daily tasks, projects, and general administrative work. Responsibilities may include but are not limited to creating Voyager/Visio design files, sourcing exhibition materials, liaising with contractors on exhibition treatments and assisting in the galleries before, during, and after exhibitions.

The Exhibition Coordinator will also be responsible for administratively supporting the gallery and exhibitions function, maintaining finances, processing invoices, maintaining layout software, working with users and disseminating crucial information regarding installation process.

The Exhibition Coordinator will be required to work both independently as well as collaboratively with Gallery Operations, Logistics, Facilities, Marketing, and Art Departments to ensure that all gallery activities run smoothly and in accordance with Christie’s standards and best practices.

How you'll make an impact

  • Exhibit a strong attention to detail and understanding of the Gallery Operations processes

  • Liaise and communicate with the Exhibition Manager, Logistics, Art Departments, Facilities, Security and relevant contractors/vendors regarding layouts and installations

  • Schedule and lead routine sale exhibition meetings, disseminating meeting minutes/follow up materials to relevant colleagues

  • Update Voyager and Visio data and design files, communicating with art departments when file is ready to be used

  • Prepare floor plans and room lists for exhibitions as required

  • Ensure that various Gallery Operations spreadsheets and SharePoint folders are updated throughout the busy season, including exhibition material inventory and analytics of exhibitions

  • Assist team members with exhibition preparation, gallery preparedness and managing general inbox requests

  • Assist team members with updating and supporting additional JDE system updates

  • Maintain daily administrative tasks related to budgeting, purchase order processing, and scheduling

  • Manage certain activities in the galleries by acting as a representative of Gallery Operations to other support departments or external vendors

  • Physical presence in the galleries is required on load-in and breakdown days to assist Gallery Operations and Logistics teams with installations; including evenings and weekends as necessary

  • Support Gallery Operations team with any immediate and long-term projects related to exhibitions, construction, events, and our gallery / front of house spaces overall.

  • Other duties as assigned by manager

What you’ll bring to the team

  • Prior administrative experience in a museum or gallery setting preferred. Knowledge of art history a plus.

  • Excellent information retention, communication and interpersonal skills, including superior written and spoken communication

  • Demonstrated ability to multi-task and prioritize, both while working independently and with a team

  • Strong organizational and troubleshooting skills with demonstrated ability to implement creative solutions

  • Ability to manage time effectively and autonomously, work under pressure to tight deadlines

  • Ability to work professionally, respectfully and responsibly with colleagues across all areas of the business

  • Strong follow-up skills with attention to detail

  • Proficiency in Microsoft Office programs and ability to learn Christie’s systems

  • Work is performed primarily in an office, gallery setting or from home as dictated by current situation

  • Noise level in the work environment is moderate

  • Ability to work evenings or weekends as necessary, both on-site and remotely

  • Extensive walking throughout Christie’s Facilities

Compensation Range

Salary: $54,000.00 - $57,000.00
