Executive — Spares & Logistics
Location: Pune
Job Summary
The Executive — Spares & Logistics will manage the end-to-end order process for spare parts and service consumables, acting as the primary interface between customers, internal sales, warehouse, finance and technical service teams. The role ensures timely order capture, accurate commercial processing, inventory checks, coordination of dispatches, invoicing and collections support while maintaining high customer satisfaction and compliance with internal systems (SAP R/3, SAP Business One)
Key Responsibilities
- Manage order process from Customer to HQ and transfer orders to the internal order system.
- Handle commercial cash-to-order processing.
- Create, review & manage offers as per customer requirements using SAP R/3 prices, Excel quotes and SAP Business One.
- Acknowledge and scrutinize customer purchase orders (PO) and provide PO acknowledgements via Sales Order Confirmations (SOC).
- Check inventory status and place orders for non-available parts to TWS via the internal CRM/order system.
- Daily monitoring of open SOCs and reconcile open orders vs available inventory to ensure fulfilment.
- Follow up on open CRM tickets with TWS and handle queries from internal teams.
- Issue invoices and track payments in collaboration with TIN customer care/finance team.
- Coordinate with the warehouse team for daily dispatches, follow up on partial dispatch statuses and obtain delivery confirmations.
- Address customer complaints and coordinate change requests related to delivery and commercial matters.
- Conduct regular calls with customers to discuss PM consumables and service parts requirements.
- Work with the technical service team to understand retrofit queries and ensure correct parts selection.
- Handle customer sales returns queries, obtain internal approvals from service and management, verify return documents and instruct the warehouse to prepare return documentation and process returns.
- Handle inter-departmental queries from customer care and finance related to customer outstanding balances.
- Support the product sales team with pricing of spare parts for budgeted quotes in support of machine sales.
Skills & Qualifications
Required:
- Bachelor’s degree in Business Administration, Supply Chain, Logistics
- 5 years’ experience in spare parts sales, order management, logistics or customer service in an industrial/manufacturing environment.
- Working knowledge of ERP/CRM systems (experience with SAP R/3 and SAP Business One preferred).
- Strong Excel skills for quote creation and data analysis.
- Excellent communication, customer orientation and organizational skills.
- Attention to detail and ability to manage multiple priorities.
Desirable:
- Experience with internal order systems or vendor portals.
- Familiarity with technical service language for retrofit and spare parts.
- Experience in machine tools or laser technology industry.
- Local language proficiency (e.g., German) if customer-facing in the region.

Working Conditions
Office-based with regular coordination with warehouse and service teams; occasional travel to customer sites and other company locations as required. Standard business hours with occasional extended hours to meet customer deadlines.
