Position Summary

We are looking for an Executive / Senior Executive, Order Management to join our team in Jakarta. This role is essential in executing the end-to-end fulfilment of customer orders, ensuring timely, accurate and compliant delivery in alignment with contractual requirements. The incumbent will coordinate closely with internal and external stakeholders to manage non-technical, back-end processes for our engineered solutions.


What you will be doing:

  • Coordinate order fulfilment activities from sales handover to final delivery, engaging Sales, Sales Engineering, Finance, Aftersales, Logistics, factories, suppliers and contractors.
  • Create, maintain and manage all required order documentation in shared drives and SAP (including sales order files, engine purchase orders, batch and serial number tracking).
  • Execute orders in full compliance with contractual scope, timelines, cost obligations and customer requirements.
  • Coordinate with Finance on down payments, stage payments and performance or bank guarantees in line with agreed payment terms.
  • Support goods movement processes, including goods receipt in SAP and coordinating with warehouses for engine and accessory arrivals.
  • Follow up on timely creation and issuance of purchase orders for third-party items; manage SAP PR/PO processes.
  • Ensure secured payments (TT, LC, etc.) prior to release or delivery by working with Sales and relevant parties.
  • Issue and manage shipping instructions and liaise with customers and factories to confirm shipment schedules and readiness.
  • Coordinate with freight forwarders on bookings, shipping documentation (such as bills of lading) and tracking of shipments.
  • Verify incoming invoices from factories, suppliers and forwarders; ensure completeness of delivery and accuracy of charges.
  • Manage discrepancies, claims for missing parts or short shipments, and follow through on resolutions.
  • Support LC (Letter of Credit) documentation preparation, amendments and liaise with Finance for final submission.
  • Work with technical teams to ensure required technical documentation or certificates are available in accordance with contractual terms.
  • Generate SAP packing lists and ensure timely dispatch of goods for local deliveries.
  • Provide administrative and operational support for ad-hoc or special assignments as required.

Position requirements:

Essential:

  • Bachelor’s degree in Business, Supply Chain, Engineering or a related discipline.
  • Experience in order management, sales operations or project administration within an engineering, industrial or technical environment.
  • Strong understanding of commercial processes, order fulfilment workflows and contractual execution.
  • Hands-on experience with SAP (SD/MM modules preferred) for order processing, PR/PO creation, goods receipt and documentation.
  • Ability to coordinate multiple stakeholders and manage deadlines across complex order cycles.
  • Strong attention to detail, documentation accuracy and compliance awareness.
  • Good verbal and written communication skills, with the ability to engage internal and external stakeholders effectively.
  • Proactive, well-organized and able to work independently with minimal supervision.

Preferred Requirements

  • Experience in power systems, heavy equipment, engineered solutions or related industries.
  • Familiarity with Letters of Credit (LCs), shipping documentation and logistics coordination.
  • Exposure to customer-facing roles or cross-functional collaboration environments.
