An Office Administrator is required to provide executive office support to the Executive Director and join the BDS Human Resources’ (HR) organization. This role is based in either Hazelwood, MO; Berkeley, MO; Arlington, VA; Mesa, AZ; Everett, WA or Titusville, Florida.
The main responsibilities include: international and domestic travel arrangements, meeting and conference room management support, maintenance of office supplies, planning for internal and external events and meetings, and processing incoming and outgoing communications and correspondence to ensure proper dissemination of information.

Position Responsibilities:
Coordinate complex scheduling, calendar management logistics for senior executives and including at times Executive Council (EXCO) and Board of Directors (BoD) members
Work closely with Executive Assistants and other Executive Office Administrators Process and screen incoming and outgoing communication and correspondence to ensure proper dissemination of information
Create, edit and maintain electronic and written communication Track and maintain designated conference room schedules for availability and efficient use of resources
Coordinate and process domestic and international business travel arrangements, monitor designated business traveler's logistics, including oversight of all passport and visa applications, generate expense reports, assist in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verify payments to corporate credit cards
Collect and compile data to provide visibility of status for traveler's review and/or signature
Track and maintain information relative to department and business operations
Communicate a wide variety of information verbally to multiple audiences
Order and maintain office supplies
Plan and implement logistics for senior executive level internal and external events
Provide guidance to less experienced employees
Work under minimal supervision
Basic Qualifications (Required Skills/Experience):
3+ years of experience providing administrative support to multiple customers such as executives, managers and staff members
3+ years of experience with Microsoft Word, Excel, Outlook, and PowerPoint
Preferred Qualifications (Desired Skills/Experience):
Experience with written and verbal communication across global audiences, including experience in Communications and Brand
Experience in partnering with executives to help develop and manage the operating rhythm/cadence for executive leadership teams
Excel at creating and sustaining effective working relationships with internal coworkers, executives and external audiences and partners while maintaining the highest level of confidentiality regarding sensitive information
Experience with Concur or a similar travel and expense management program
Adeptness in functioning as a liaison between customers and senior executives as well as superior work prioritization and multi-tasking capabilities
Demonstrate analytical and problem-solving skills
A high attention to detail, self-starter, results driven
