Job description summary:

As Executive Administrative Assistant you will provide a high level administrative support to Wintrust executives, such as taking calls, scheduling meetings, managing executive requests, and other office duties.

8th Floor Executive Suite Duties Include:

  • Switchboard/Answering Phones (Back Up)
  • Conference Room Reservations (2nd Floor, 8th Floor)
  • Security Guest List Submissions
  • Catering Requests
  • FedEx Labels
  • Garvey’s Orders
  • Colliers Maintenance Requests
  • Directors Desk Maintenance/Monitoring
  • Email Distribution List Maintenance
  • Meeting Requests/Scheduling
  • Calendar Invites (WTFC Committee Meetings)
  • Travel
  • Quarterly Access Reviews
  • Employee Luncheons
  • Expense Reports/Corporate Credit Card Submissions
  • Book Travel

  • Reference Guide Updates
  • CLE Compliance
  • Answering Phones
  • Filing (Paper Files/Documents)
  • Submitting Legal Department Invoices
  • Legal Department Law Licenses – Annual Confirmation
  • Legal Department Roster/Contact Information – Annual Confirmation and Maintenance
  • WTFC Board Member Expense Reports

Knowledge/Skills/Background/Experience

  • Undergraduate degree preferred or equivalent experience
  • 3-5 years in an administrative support or customer facing role
  • Proficient with the Microsoft Office suite
