POSITION SUMMARY: 

Assist the Site Management Team with various administrative duties, including meeting planning, travel arrangements, and general administrative support. 

ESSENTIAL POSITION DUTIES AND FUNCTIONS:

  • Make Travel arrangements as required for the site.
  • Establish and maintain Site Management files and records as needed.
  • Coordinate the planning, organizing, and preparation of confidential briefings, meetings, travel arrangements, schedules, various reports, projects, legal and general correspondence
  • Provide administrative support for the Site Management Team members.
  • Provide administrative support for the HSE and Facilities Manager.
  • Maintain ADP Employee Hours and required reports.
  • Update Training Records.
  • Assist in the planning and organization of Industry Conventions and Congresses.
  • Assist with special projects as required.
  • Provide administrative support at company events & industry conventions (Off-site)
  • Perform other related duties as necessary.

SKILLS NECESSARY TO PERFORM POSITION DUTIES:

  • Proficient use of computer and software including Microsoft Office – MS (Word, Excel, Access, PowerPoint); Adobe Acrobat; Photoshop; scanning, faxing and other various software packages.
  • Excellent organizational skills.  Ability to handle multiple tasks simultaneously; Good attention to detail.
  • Excellent verbal and written skills, strong ability to communicate.
  • Highly capable and knowledgeable of dealing with customers, and liaison with various service providers with regard to business requirements.
  • Bilingual in Spanish verbal and written.

TYPICAL EDUCATION:

Undergraduate preferred.  Will accept experience in lieu of degree.

TYPICAL EXPERIENCE:

3-5 years administrative experience, highly developed PC skills, proven people skills.

Work Authorizations/Security Clearance:

Employee must be eligible to receive deemed exports as defined by U.S. Export Administration (“EAR”) or EAR-controlled technology.
