The Office of the Senior Vice President for USC Communications is seeking an Executive Assistant to join the team. This role provides high-level administrative and operational support to the Senior Vice President (SVP) and/or leadership team and helps ensure the office runs smoothly day to day. The ideal candidate will bring strong judgment, attention to detail, discretion with confidential information, and the ability to manage multiple priorities in a fast-paced environment with frequently changing demands.
The Executive Assistant is responsible for coordinating electronic information systems, supporting office purchases and approvals, and helping oversee the maintenance of office equipment and facilities. This position also helps ensure the office remains in compliance with university policies and procedures and stays current on any updates or changes. In addition, the Executive Assistant may review office processes, prepare reports, and offer recommendations to improve overall efficiency and effectiveness.
The selected candidate will be expected to establish and maintain contact with senior leaders, faculty, and/or staff who work closely with the SVP for USC Communications. This role also supports the progress of department programs and projects and provides updates on key goals and deliverables. The Executive Assistant must be highly responsive, adaptable, and able to anticipate needs by understanding priorities and planning logistics from the leader’s perspective. The Executive Assistant may also manage special department projects on behalf of the SVP.
This position will be fully onsite at the University Park Campus, 5 days a week.

Responsibilities include but are not limited to the following:
Project management and/or supervision of part-time, resource and temporary workers
Overseeing digital information systems
Managing procurement and/or acquisitions
Coordinating the maintenance and repair of office equipment and facilities
Ensuring the department’s conformity to university policies and procedures
Handling sensitive and confidential information with discretion
Resolving complex departmental problems
Report preparation, including conclusions and recommendations
Research on behalf of the key executive(s)
Coordinating daily schedules and calendaring activities
Travel arrangements as required
Performing other related responsibilities as requested and when necessary. The university reserves the right to add or change duties at any time
Minimum Qualifications
Bachelor's degree
Five (5) years of experience within related administrative functions
Experience in supervising administrative operations of multi-faceted department
Strong organizational skills to address, prioritize and coordinate multiple problems and activities concurrently
Preferred Qualifications
Seven (7) years of experience within related administrative functions

The annual base salary range for this position is $89,350-$92,000.
