Your part in our Wesley Hospital team  

As the Executive Assistant to UnitingCare Health’s Chief Medical Officer, you will be based at The Wesley Hospital and provide high level executive and administration support in an efficient, confidential and professional manner.

A diverse role you’ll be accountable for:

  • Liaising with important internal and external stakeholders

  • Assistance with and leadership of project management for strategic and operational objectives

  • Supporting office functions such as - meeting scheduling, travel and accommodation arrangements, call and email management

  • Secretariat support to a variety of committees including agendas, minute taking, committee action items

  • Drafting professional and official correspondence

  • Call screening and management of urgent requests

  • Reporting and presentation preparation

  • Coordination of events such as functions and workshops as required

  • Assistance with general/HR administration and office management

  • Medical workforce support 

  • Undertake other duties as required/directed as service needs change or grow

  • Provide support to other hospital Executives and EA’s when required

  • Adhoc Project work as required

We are seeking an experienced professional who thrives in a fast- paced and constantly evolving environment. This role requires a high level of self-motivation, initiative and the ability to pivot quickly as priorities shift throughout the day. You will exercise advanced decision-making skills to troubleshoot issues and develop practical solutions.

You will also present with:

  • Experience providing executive or senior administration level support (minimum of 3 years)

  • Previous experience working within a hospital or health care setting is highly desirable

  • A flexible and adaptable approach with the ability to self-motivate in an autonomous role

  • High level of interpersonal, written and oral communication skills

  • Advanced computer skills including accurate typing skills of at least 80wpm

  • High level initiative and negotiating skills

  • Excellent administrative skills with accuracy and attention to detail

  • Ability to meet deadlines and establish work priorities in a busy, fast paced and quickly changing environment 

  • Ability to maintain a high level of discretion, confidentiality and professionalism at all times

  • Willingness to obtain required vaccinations in line with hospitals infection control requirements
