Job Description Summary

In this role, you will partner with the Zone President and his Executive Leadership team to provide effective and responsive operational support to the zone. This role will be varied in responsibilities, accountable for the executive administration for the president including diary, calendar and travel management, internal zone communications including material preparation, meeting coordination and organisation announcements, and general zone business coordination, being a core part of the zone leadership team.

Job Description

Responsibilities

Executive Administration

  • Manage and monitor the inbox of the president, including flagging, prioritising, responding or redistributing as appropriate.

  • Provide efficient and effective support through maintaining and coordinating calendars, including timely amendments, flagging of out of hours commitments ahead of time, scheduling appointments/meetings and using judgement to prioritise the President’s time.

  • Booking and amending complex travel arrangements including reservations and visas, as well as reconciling T&L expense accounts in a timely manner

  • Act as an approachable gatekeeper to the president; ensure you are seen as an extension of the president and their key initial contact

Internal Communications

  • With the support of IT and Communications, organise and facilitate zone meetings including all employee townhalls, competently using high end technology (Microsoft Teams, Teams Broadcast, in-room technology etc.)

  • Independently develop presentations, invites and materials and coordinate speakers for a broad range of activities including all employee townhalls and Leadership meetings. Align with the President on key messages, tone, content and delivery of presentations and communications.

  • Proactively draft organisation communications on behalf of the President, developed from engagement and discussion with the Leadership Team.

  • Manage and maintain the Zone intranet page, including the posting of announcements and key information.

Zone Business Coordinator

  • Proactively support internal customers by independently handling all assigned administrative duties and taking direction from and balancing the needs of multiple staff members.

  • Be an active member of the zone leadership team, participating in leadership team meetings and contributing to the zone strategy. Act as a strategic partner to the president and their leadership team on all business matters. Operate with the utmost integrity and confidentiality.

  • Schedule, plan and organize all logistical details for in-house and off-site meetings, training, and events.

  • Be a trusted advisor within the organisation; check in with all levels of the organisation to monitor culture and engagement and bring these insights to the leadership team forum.

  • Provide support to the president in meetings, aiding action items, running of presentations and management of remote participants.

  • Manage the coordination of the Customer Education Suite on site. Including the bookings, usage and maintenance of space.

  • Actively attend site leadership meetings on behalf of the president to discuss and plan local activities; attend as a representative of the zone, taking key actions where relevant and ensuring key topics are fed back to the leadership team.

  • Complete project based administration as required, including raising purchase orders and invoice management.

Qualifications

  • Solid experience supporting Executive Leaders in multi-national environments

  • Ability to work across multi-cultural and diverse teams

  • People Leader with a proven ability to manage diverse teams, mentor and develop talent

  • Proven experience supporting cultural transformation and employee wellbeing

  • Digital savvy, including Microsoft Office tools and basic AI skills

  • Knowledge of Smartsheet and Power BI is desirable but not essential

  • A high degree of self-management organizational skills, and an excellent communicator (English, oral and written)

  • Experience of managing a busy workload, including complex and competing priorities whilst remaining organized and professional, working to deadlines, and sometimes delivering under pressure

  • Knowledge of LEAN methods and standard work, always working from a LEAN mindset. Proactively driving continuous improvement whilst demonstrating a behaviour of thinking ahead of the curve

  • Capable of fostering close working relationships

  • The role requires the highest level of confidentiality, integrity, and role modelling of leadership behaviours
