What you’ll contribute to
We are seeking an experienced and highly capable Executive Assistant to the Vice President to join Toyota’s Executive Office in a permanent, full-time capacity.
The Executive Office is Toyota’s operating and governance arm, enabling effective leadership by providing strategic, governance, and operational support to the President & COO and Executive leadership. It plays a critical role in driving disciplined decision making, executive alignment, and the seamless execution of enterprise priorities.
This role operates well beyond traditional administrative support. The Executive Assistant acts as a true extension of the Vice President, enabling strategic focus, shaping outcomes, and supporting the successful delivery of executive priorities. The role requires strong business acumen, sound judgement, and the ability to operate confidently in a fast paced, complex executive environment.
This is a permanent role based at our CHQ office in Port Melbourne and is predominantly based onsite.
How you’ll make an impact
Partner strategically with the Vice President to enable focus on enterprise priorities through proactive planning, sound judgement, issue anticipation, and ownership of outcomes.
Deliver high‑quality, executive‑ready materials—including summaries, dashboards, reports, and presentations—to support strategic, governance, and decision‑making requirements.
Support and coordinate executive‑level projects and initiatives by managing activities, milestones, risks, dependencies, and cross‑functional inputs.
Drive effective executive governance rhythms by coordinating forums and meetings, preparing high‑quality briefing packs, managing actions and follow‑ups, and ensuring alignment with enterprise governance frameworks.
Manage the Vice President’s diary and workflow strategically, prioritising competing demands, optimising time and travel commitments, and exercising strong judgement on requests.
Act as a trusted interface for senior internal and external stakeholders, while continuously improving ways of working, maintaining accurate records and systems, and handling highly confidential matters with discretion and integrity.
Your attributes – if this sounds like you, we’d love to hear from you
Demonstrated experience as an Executive Assistant or Executive Business Partner supporting executive‑level leaders within a large, complex organisation.
Strong strategic thinking and business acumen, with the ability to exercise sound judgement and make informed decisions.
Proven capability to manage and contribute to executive‑level projects and initiatives, operating with autonomy and accountability.
Exceptional stakeholder management skills, with the confidence to engage, influence, and appropriately challenge senior leaders.
Highly developed organisation, prioritisation, and time‑management skills, with advanced proficiency in Microsoft Office and the ability to produce executive‑ready materials of a high standard.
Proactive, discreet, and highly professional, with the ability to anticipate needs, take ownership, and manage confidential information with integrity.
