We are now excited to invite applications for the role of Executive Assistant to the CFO with our awesome team in Melbourne on a 12-month contract. 

 

The role: 

As the Executive Assistant to the CFO, you provide high‑level strategic and operational support, communications and global stakeholder engagement. You will oversee complex scheduling, travel, and executive‑level communications, while ensuring smooth operations across APAC and global teams. The position also supports financial processes, reporting and governance, maintaining accuracy and discretion in all responsibilities. Success in this role requires exceptional organisation, proactivity and the ability to thrive in a fast‑paced, global environment. 

 

Core responsibilities: 

Strategic Partnership & Planning 

  • Manage the Executive’s operating rhythm across regional and global forums. 

  • Coordinate leadership meetings and touchpoints across time zones. 

  • Prepare high‑quality briefings, materials, context and follow‑ups for all Executive engagements. 

  • Proactively manage and triage the Executive’s inbox, escalating priorities as needed. 

Communications & Stakeholder Engagement 

  • Draft and manage executive communications, announcements and updates. 

  • Prepare and refine presentations and briefing materials, ensuring alignment with dentsu branding. 

  • Coordinate regional/global townhalls and maintain consistent communications flow. 

  • Plan and execute end‑to‑end offsites, including agenda setting, logistics, vendor management and budget oversight. 

Travel & Logistics 

  • Manage complex domestic and international travel for the CFO and senior leaders as required. 

  • Coordinate agendas, logistics and stakeholder engagement with local markets. 

  • Organise team meetings, site visits and in‑market presentations during Executive travel. 

Operational, Financial & Governance Support 

  • Process and manage Executive expenses and submissions in line with policy. 

  • Review and approve expenses on behalf of the Executive. 

  • Track function‑related travel and ensure APAC travel requests receive appropriate approval. 

  • Manage Workday submissions, approvals and team leave tracking. 

Reporting & Business Operations 

  • Coordinate and format quarterly business reporting with senior leaders. 

  • Schedule quarterly business reviews across markets. 

  • Provide ongoing administrative and operational support to the Executive’s leadership team. 

  • Maintain high‑quality organisational documents and business information. 

Stakeholder Interaction 

  • Build strong relationships with APAC EAs, particularly Singapore‑based counterparts. 

  • Engage regularly with global EAs and executive teams. 

  • Provide support to additional executives during peak periods or absences. 

  • Communicate effectively with global stakeholders with professionalism and clarity.

  • Experienced supporting C‑suite or senior executives with high discretion. 

  • Exceptionally organised and proactive, with strong anticipation of Executive needs. 

  • Skilled in creating polished presentations and materials. 

  • Detail‑oriented, accurate and fast‑paced in delivery. 

  • Comfortable navigating shifting priorities in a dynamic global environment. 

  • Solutions‑focused, calm under pressure and adept at managing competing demands. 

  • Effective across diverse APAC and global stakeholder groups. 

  • Flexible with non‑standard hours to support regional time zones.
