The Executive Assistant to the CEO, TSX and Global Head, Capital Formation provides superior, high-quality executive level operational and administrative support, reporting directly to the CEO, TSX and Global Head, Capital Formation. This position is a member of the group of Executive Assistants who support the Senior Management Team of TMX.
This position is responsible for the organized and efficient administration of the Capital Formation business, overseen by the CEO, TSX and Global Head, Capital Formation, and encompassing TSX, TSX Venture, TSX Trust, and Newsfile.
Serving as the primary point of contact for all internal and external business needs, the Executive Assistant must maintain a high level of professionalism and confidentiality that reflects positively on the organization. The Executive Assistant will have a high degree of interaction with high-level contacts including the Board of Directors, the Senior Management Team, external industry contacts and other stakeholders. The Executive Assistant is accountable for managing schedules and calendars, departmental events, executive correspondence, presentation materials, and files, while also liaising with cross-enterprise leaders and business partners on behalf of the CEO and the Capital Formation SLT to ensure executive effectiveness.
This role is hybrid (4 days/week in the office) - based in Toronto, ON.
Key Accountabilities:
Proactive day-to-day executive administrative support for the CEO, TSX and Global Head, Capital Formation and, as necessary, to the broader Capital Formation SLT:
Executive Scheduling and Travel Management: Deliver sophisticated management of a complex calendar, including scheduling, conflict resolution, organizing attendance across time zones, arranging travel, and ensuring the CEO is updated with accurate materials in advance of all meetings.
Correspondence and Document Management: Prepare, review, and manage all executive correspondence, drafts, briefings, and presentations with a high level of accuracy, proactively drafting materials on behalf of the CEO and SLT.
Communication and Inquiry Resolution: Act as the primary point of contact by managing the executive inbox, screening incoming calls/emails/messages, and serving as a central liaison to respond to and resolve general and confidential inquiries from internal departments and the senior management team.
Event and Engagement Coordination: Coordinate all logistical aspects of team, town hall, large format meetings, and employee engagement activities, including agendas, catering, venue booking, and providing technical support for virtual platforms (Google Meet, Webex, Microsoft Teams, and Zoom).
Operational Efficiency and Confidential Administration: Exercise a high degree of judgment and discretion to manage sensitive, confidential matters; drive operational efficiency by identifying and executing process improvements; and administer business expenses, vendor invoices, and special projects.
General: Anticipates needs, resolves issues independently where appropriate and exercises judgement on sensitive and confidential matters, as well as other general support and administration duties as required.
Must have(s):
A minimum of 10 years of relevant experience supporting a senior executive.
Exceptional professional communication and stakeholder management skills, with the discretion and judgment required to handle complex, confidential matters.
Superior organizational, time management, and meticulous attention to detail, including being attuned to schedules and preparing files in advance of meetings.
Proven self-starter who is flexible, adaptable, and takes initiative to manage multiple responsibilities in a fast-paced, high-quality environment, including coordinating with a team of Executive Assistants.
Familiarity with Microsoft Suite, Google Suite, and Adobe Suite, as well as online collaborative tools such as Google Meet, Microsoft Teams, Webex, and Zoom.
Salary Range: 80,000/year - 92,000/year CAD
