Purpose of the Role
We are seeking an exceptionally organised, proactive and discreet Executive Assistant to provide high‑level support to the iProspect President. This role ensures the smooth running of day‑to‑day operations, enabling senior leadership to focus on strategic priorities. You will operate with professionalism, confidentiality and outstanding attention to detail, acting as a trusted partner to the President and wider leadership team.
Key Responsibilities
High‑level Executive Support: Provide and often lead a full range of confidential administrative support, operating with the utmost sensitivity, tact and professionalism.
First Point of Contact: Act as the central point for all queries, screening and directing incoming matters, ensuring follow‑up and resolution where required.
Document & Communications Management: Prepare complex correspondence, reports, presentations, agendas and minutes using business software, ensuring accuracy and clarity at all times.
Professional Reception & Communications: Receive and prioritise calls, visitors, emails and mail, ensuring that communications are managed promptly and courteously.
Diary, Records & Travel Coordination: Maintain diaries, files, records and calendars; arrange travel, coordinate meetings, and manage expenses with precision and compliance.
Administrative Process & Standards: Contribute to the development and implementation of administrative processes, standards and best practice across the function.
Person Specification
Extensive EA Experience: Demonstrable experience supporting senior executives ideally at board level within a fast‑paced, complex organisation.
Exceptional Organisational Skills: Ability to handle multiple priorities, remain composed under pressure and maintain meticulous attention to detail.
Strong Interpersonal & Communication Skills: Confident, clear communicator able to build trusted relationships with internal and external stakeholders at all levels.
Advanced Technical Proficiency: Highly proficient in Microsoft Office and diary management tools, with the ability to produce polished documents and presentations.
Discretion & Professional Integrity: Proven ability to handle confidential or sensitive information with absolute professionalism and sound judgement.
Flexible Mindset: A collaborative problem‑solver with a positive ‘can‑do’ attitude, adaptable to shifting priorities and organisational needs.

The team is based in our London office but operates under flexible working arrangements. The team are currently in the office every Tuesday, Wednesday and Thursday.
