Executive Assistant to Head of FRCC South East Asia

Responsibilities:

  • Planning and organizing regional executives meetings in SEA, coordinating travels and accommodations, sourcing suitable hotels/event venues  
  • Organizing general meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Prepare and organize correspondence, reports, and presentations
  • Preparing and submitting accounting reports meeting group standards
  • As HR focal point for payroll and onboardings for new hires
  • Be a regional liaison to the Corporate Communications in Weinheim
  • Coordinate regional CSR activities like e2
  • Serve as a point of contact between the executive and internal/external stakeholders
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Handle confidential information with discretion and professionalism
  • Maintaining comprehensive and accurate FRCC records
  • Keep and processing expenses and charge back timely in ConcurSolutions / invoices for FRCC
  • Answering phone calls in a polite and professional manner
  • Receiving guests/ visitors to KL FRCC office and ensuring their needs attended to
  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters

Qualifications:

  • Bachelor Degree in Accounting/Business Studies/Administration/Management, Economics, Human Resources or equivalent
  • Experience in managing corporate accounting reporting
  • A minimum of 3 years of experience in administrative support, executive assistance, or human resources.
  • Verbal and written communication skills in English, Chinese and Bahasa Malaysia
  • Strong organizational skills and ability to multitask
  • Problem-solving and decision making
  • Proactivity and self-direction – work independently
  • Interpersonal skills – dealing with stakeholders across the region and globe
  • Ability to handle urgent situations and remain calm under pressure
