Information about the position 

As an Executive Assistant, you will be the key person ensuring our CFO’s daily operations run smoothly and efficiently. Working closely with our Senior EA and the Finance Chief of Staff, you will take ownership of the administrative process of the CFO’s office, providing the dedicated, high-quality support needed to keep our CFO focused and on track.

This is a role for a proactive professional who loves the puzzle of a busy calendar and takes pride in being one step ahead. You’ll be the primary point of contact for the CFO’s internal and external engagements, balancing the rigour of finance operations with a friendly, approachable style.

In this position, you’ll 

  • Partner with our CFO to manage their calendar effectively, balancing back-to-back meetings with necessary focus time and "prep" slots.
  • Coordinate complex travel, creating seamless itineraries for international trips, including all bookings, transfers, and local logistics.
  • Act as a trusted gatekeeper, managing incoming requests and emails, and deciding what needs the CFO’s immediate attention versus what you can resolve or delegate.
  • Handle sensitive information with the utmost discretion. You’ll be working with confidential financial and strategic data, so maintaining total confidentiality is a core pillar of this role.
  • Organise internal and external events, from finance team workshops to the logistics and scheduling for investor meetings.
  • Support financial admin, assisting with the CFO’s expenses, invoices, and basic reimbursement flows.
  • Drive operational excellence, collaborating with the Senior EA and Finance Chief of Staff to refine processes and ensure the CFO’s office operates at the highest standard.

About you 

  • Proven experience in an EA or high-level administrative role within a corporate or high-growth environment.
  • Exceptional organisational skills. You have a proven track record of managing high-volume everchanging schedules, ideally across multiple time zones.
  • Highly discreet. You understand that trust is the foundation of this role, and you are comfortable handling strictly confidential business information.
  • Excellent communicator. Your written and spoken English is top-notch—you can switch between professional emails for external partners and friendly Slack messages for the team with ease.
  • Confident and direct. You have the confidence to keep things moving; you aren't afraid to ask for clarity or push for decisions to ensure our senior executives can work at speed.
  • Expert in Google Workspace (Gmail, Calendar, Docs, Sheets).
  • Proactive and adaptable. You don't wait for instructions; you see a gap and fill it, and you stay calm when plans change at the last minute.
  • Collaborative mindset. You enjoy working as part of a small, high-impact support duo and are keen to learn and grow within the Finance function.

The salary range for this position is € 2,333 - € 3,167 gross per month.
