About The Role

We’re seeking a highly organized, business-minded Executive Assistant to work on-site in our Industry City, Brooklyn office. This role blends high-level strategic support with hands-on executive assistant responsibilities. You’ll sit alongside the CEO each day to manage their schedule, streamline their workflow, and keep priorities moving — while also driving special projects, producing executive-ready presentations, and supporting key external engagements.

You will be an extension of the CEO: anticipating needs, creating structure, and providing the operational and strategic support required for the CEO to show up at their best. This role requires exceptional discretion, sound judgment, and the ability to handle highly sensitive information.

Responsibilities

  • Manage CEO’s calendar, daily schedule, travel, and daily workflow - working directly next to him, providing real time support
  • Oversee confidential email inbox; triage, draft responses, escalate priorities
  • Prepare meeting materials, brief CEO, take confidential notes and handle follow-ups
  • Create polished presentations and briefing materials for Executive Team meetings, Board/Advisory sessions, investor updates, and external events
  • Conduct research, analyze information, and synthesize insights to support CEO decision-making. Support special projects (ie, Industry Advisory Board operations including agendas, content, logistics, and follow-ups)
  • Draft clear, concise, professional communications on behalf of the CEO, including emails, summaries, and talking points; maintain confidentiality with absolute discretion and professionalism
  • Build structure around the CEO’s priorities and support alignment across the leadership team, drive accountability with internal stakeholders
  • Identify operational gaps and implement systems and routines that increase the CEO’s effectiveness
  • Execute ad-hoc tasks or projects as required to meet evolving business priorities

Skills & Qualifications

  • 6+ years of experience in an Executive Assistant or similar role supporting senior executives
  • Must be able to work in person, full-time, in our Industry City, Brooklyn office
  • Impeccable discretion, professionalism, and judgment
  • Exceptional organizational skills and ability to manage complex, fast-moving workflows
  • Strong written communication and presentation-building skills (Google Slides/PowerPoint)
  • Experienced in note-taking for executive-level meetings and handling sensitive information securely
  • Strong project management and cross-functional coordination abilities
  • Confident, polished presence with excellent relationship management skills
  • Comfortable switching between strategic work and hands-on execution
