The Opportunity 

Our External Relations Canada team is currently seeking a highly organized, proactive, and detail-oriented Executive Assistant to join the team, supporting the Vice President, External Relations Canada.

 

Reporting to the Vice President, this position will be responsible for complex and confidential administrative assignments requiring a high level of professionalism, sense of urgency, and strong attention to detail. The role interacts with external and internal stakeholders in a deadline-driven environment with constantly changing priorities.  This crucial role will manage schedules, travel arrangements, expenses, and day-to-day responsibilities with unwavering efficiency and discretion. 
 

What you will do  

  • Partner with the Vice President to manage their calendar, to prioritize tasks, organize appointments expense reporting and coordinate travel arrangements 

  • Maintain confidential files and records, ensuring the secure handling of sensitive information 

  • Coordinate and facilitate effective communication between executives and external/internal stakeholders, including policymakers, government officials, and industry leaders with the utmost professionalism 

  • Provide administrative support, such as drafting correspondence, proofreading, and organizing documents 

  • Handle highly sensitive and confidential information and issues in an appropriate and professional manner; and direct sensitive issues to appropriate executives 

  • Anticipate the needs of executives and proactively develop solutions to streamline their workload, drawing upon your understanding of the political landscape in North America 

  • Take and publish meeting minutes as requested  

  • Anticipate needs of the Vice President and broader leadership team and actively seek out solutions    

  • Troubleshoot administrative issues for the team and independently develop solutions through cross-functional collaboration with other departments 

  • Execute various processes for department, including organization and position management, utilizing workforce and SAP software suites for requests and information management as well as department moves and office planning  

  • Complete timesheets and expense reports  

  • Maintain contacts and schedules for external Board commitments  

  • Plan and organize events as required for the department including venue bookings and/or catering 

  • Track and follow up on action items, invitations, correspondence and documents for signature  

  • Develop relationships and work collaboratively on tasks and deliverables with leaders and administrative staff in the US, Canada and Mexico 

 

Minimum Qualifications   

  • High school diploma or post-secondary certification in administration  

  • 10 years of experience as an executive assistant or in a similar high-level administrative role 

  • Proven track record of providing exceptional administrative support to senior-level executives 

  • Experience navigating, and understanding of, the complex political landscape  

  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines 

  • Excellent written and verbal communication skills, with a keen attention to detail and strong political acumen 

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software 

 

 

Preferred Qualifications   

  • Post-secondary certification in administration  

  • Proven experience as an executive assistant, or in a similar high-level administrative role, in a politically charged environment 

  • Demonstrated knowledge of the natural gas industry 

  • Strong problem-solving skills and a solutions-oriented mindset, with the ability to navigate complex political, governmental, and industry processes 

  • Experience in office management
