Job Description:
The role of the Executive Assistant, supporting the SVP, Head of Investor Relations & Capital Management, is critical to the efficient operation of the team. This role provides administrative and travel support to the SVP, as well as, the VP capital management, the head of Global Reinsurance and the capital team. The successful candidate will be a pro-active, independent problem-solver with superior organizational skills and the ability to handle ambiguity, juggle multiple responsibilities, and manage conflicting demands.
What will you do?
Manage the short-term and long-term calendar and schedule, for the Executive and other senior members of the team (Head of Reinsurance and Treasurer at a minimum) based on a practical understanding of the business priorities so as to handle conflicts and prioritize demands; ensure adequate preparation by the meeting chair (visualizing required pre-meetings and pre-work) and the attendees (providing agendas and pre-reading materials in advance)
Work with the executives to create presentation materials for a variety of audiences, including the Board of Directors and the Senior executives
Assist in the preparation and distribution of reports and communications, ensuring a clear understanding of all deliverables and timelines
Manage logistics, including booking rooms, coordinating catering and technology services and arranging for guests as required
Book complex travel arrangements in North America, Europe and Asia
Manage business expense tracking and submission; manage and pay certain expenses of the team
Organize business and SLF sponsored social events, occasionally at off-site locations and requiring attendance from time to time
Answer and triage telephone calls and emails as required
Provide various support for the senior staff on the Executive’s team
What do you need to succeed?
A minimum of 5 years’ experience working as an Executive Assistant supporting senior leaders
Ability to work in a matrix environment
Proficiency in Microsoft Office Suite; experience creating PowerPoint decks and presentations
Excellent verbal and written English communication skills, with the ability to communicate effectively at all levels of the organization
Ability to perform with professionalism and poise
Excellent organization skills, time management skills, with the ability to manage projects and changing priorities
Energetic self-starter who is able to take initiative, work with minimum supervision, work on projects with frequent interruptions and achieve objectives through others
Strong interpersonal skills, and the ability to coordinate and interact effectively with team members across multiple sites/business regions
Empathetic, with a strong goal orientation; must possess a high level of commitment and dedication to the role
Resourceful at problem solving and continually improving job processes and procedures

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
