Job Overview:

We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to two senior-level executives. The ideal candidate will possess exceptional organizational and prioritization skills, enabling them to manage multiple responsibilities in a fast-paced environment. Strong written and verbal communication skills are essential, as this role requires effective interaction with internal team members and external stakeholders. The successful candidate will be proficient in Microsoft Office Suite and comfortable with a range of technology tools to effectively support executive operations. Flexibility and a willingness to take on a variety of ad-hoc projects are important for success in this role. Prior experience in an Administrative or Executive Assistant position is strongly preferred.

Key Responsibilities:

  • Calendar Management: Proactively manage complex calendars, schedule meetings, organize appointments, and coordinate travel arrangements. Anticipate conflicts and adjust schedules as necessary.
  • Travel Coordination: Arrange domestic and occasional international travel, including booking flights, hotels, car services, and coordinating itineraries in accordance with company travel protocols.
  • Expense Management: Prepare and submit accurate expense reports for the executives, ensuring compliance with company policies and timely processing through expense management systems.
  • Meeting & Event Planning: Coordinate and organize meetings and events for both internal and external participants. Prepare meeting materials, agendas, and handle logistics as needed.
  • Administrative Support: Manage email correspondence, screen phone calls, and oversee various administrative tasks such as filing, photocopying, and maintaining office supplies.
  • Special Projects & Ad-Hoc Tasks: Support the executives in special projects and handle ad-hoc assignments as requested.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain strict confidentiality at all times.

Qualifications:

Proven experience (5+ years preferred) as an Executive Assistant or in a similar administrative support role.

  • Exceptional organizational and time-management skills, with the ability to prioritize multiple tasks efficiently.
  • Superior written and verbal communication skills.
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and a strong comfort level with a variety of technology platforms.
  • Demonstrated ability to interact professionally with all levels of personnel, both internally and externally.
  • Strong attention to detail and ability to work independently.
  • Experience within the insurance industry is a plus, but not required.
