Job Purpose: The Executive Assistant provides high-level administrative and organizational support to the Chief Information Officer (CIO) and Senior Vice President, Global Business and Transformation, ensuring seamless day-to-day operations and enabling these leaders to focus on strategic priorities. In addition to supporting these executives, the role serves as a trusted resource for their broader teams, assisting with administrative tasks and departmental coordination as needed to foster efficiency and collaboration across the organization.

What You’ll Do:

  • Handle all information with the utmost discretion, integrity, and confidentiality—including documents, data, meetings, travel, phone calls, and emails—for the CIO, SVP, and their teams.

  • Proactively manage a dynamic calendar of internal and external meetings for the executives and assist with scheduling for team members as needed, ensuring accuracy and resource allocation.

  • Recognize and respond to shifting priorities, reprioritizing tasks when business initiatives change for both executives and their departments.

  • Track approved invoices and submit them to Accounts Payable systems, supporting departmental financial processes when required.

  • Coordinate corporate events, dinners, and international conferences—including agendas, catering, and group amenities for the executives and occasionally for team gatherings or departmental initiatives.

  • Arrange seamless travel experiences for the executives and assist with travel logistics for team members when necessary, including flights, accommodations, car service, visas, and vaccinations.

  • Manage, review, and process travel and expense reports for the executives and provide support for departmental expense submissions.

  • Review and confirm monthly cell phone charges with department users and ensure accurate reporting.

  • Collaborate with Accounts Payable to review T&Es, obtain necessary approvals, and manage invoices and relevant reports for the executives and broader team as needed.  

  • Perform general administrative activities such as screening calls, directing inquiries, coordinating visitor access, greeting guests, and reserving meeting rooms for executives and team members.
     

Who You Are:

  • Minimum of 10 years administrative experience, preferably with C-level executives

  • Organized and detail-oriented

  • Must be a self-starter and self-motivated with little to no supervision

  • Must be resourceful and able to take initiative for tasks to be completed

  • Must have a best-in-class service approach with the ability to interact in a positive and professional manner with all levels of employees and an array of external clients and candidates

  • Ability to handle highly confidential, extremely complex and non-routine information and maintain confidentiality regarding all matters and demonstrate a high level of integrity

  • High emotional intelligence and the ability to maintain composure in high-stress situations

  • Strong sense of urgency and responsiveness

  • Strong follow-up skills and the ability to independently track and follow through on action items

  • Must be exceptionally organized and be able to work efficiently and smart

  • Ability to communicate clearly and concisely, both orally and in writing, with a strong eye for detail

  • Must be a fast learner and adaptable

  • Consistently demonstrates advanced problem-solving skills, exercises sound judgment and independent decision making

  • Ability to work independently, and as part of a team

  • Ability to perform multiple tasks simultaneously

  • Some travel may be required
