The Opportunity

As a dedicated Senior Executive Assistant, you will perform administrative support for an assigned member of the Executive Leadership Team (ELT). Ensures day-to-day activities are coordinated and ELT member is prepared for responsibilities.

We offer a flexible work environment that requires an individual to be in the office 4 days per week. This position will be based in the Charlotte, NC office. Relocation assistance is not available for this position.

What you'll do:

  • Delivers administrative support for assigned Executive Council Member through managing emails, maintaining calendar(s) and ensuring appropriate record retention.  Coordinates activities and ensures timely information flow for Executive Council member supported.
  • Prioritizes and organizes workflow and meetings for Executive Council member to meet priorities and goals for their organization.
  • Plans and coordinates meetings, events, and conferences with internal and external organizations.
  • Prepares correspondence and reports for the Executive Council member.  Ensures data to and from the Executive Council member is treated with appropriate level of confidentiality.
  • Responsible for maintaining awareness on applicable intranet pages, messaging channels, leader communications, and other information platforms.  Proactively disseminates reminders to leaders and employees for upcoming deadlines, such as check-in completion, LMS training deadlines, or other urgent work deliverables.
  • Provides training, coaching, and feedback to administrative support employees, and leads teams impacting administrative support groups.
  • Manages travel and expense reporting timely and effectively.
  • Ensures risks associated with business activities are effectively identified, measured, monitored, and controlled in accordance with risk and compliance policies and procedures.

What you have:

  • High School Diploma OR General Equivalency Diploma required.
  • 4 years executive level assistant support or directly related experience.
  • Highly proficient computer skills (advanced or higher) needed with Windows, MS Word, Excel, PowerPoint, and Outlook.
  • Demonstrated experience with calendar management and/or prioritizing tasks in a fast-paced environment.
  • Ability to effectively build strong relationships and work with all levels within the organization.
  • Excellent oral and written communication skills with a high degree of accuracy and attention to detail needed.
  • Strong interpersonal skills exercising discretion and diplomacy in working with others including all levels of management.

What sets you apart:

  • 5 or more years of demonstrated experience supporting VP-level executives or above, with the ability to manage competing priorities across multiple time zones
  • Strong business acumen with the ability to quickly understand organizational priorities, anticipate executive needs, and proactively drive alignment
  • Experience managing complex executive calendars, coordinating high-level meetings, and ensuring seamless communication and follow-ups across a fast-paced, matrixed environment
  • Proven ability to handle sensitive information with discretion and prepare executive-level correspondence, and manage travel arrangements and expense reporting
  • Experience acting as a liaison between senior executives and internal/external stakeholders to support strategic initiatives and ensure alignment
  • Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and collaboration tools (e.g., Slack, Teams), with the ability to produce high-quality materials and manage workflows efficiently
  • US military experience through military service or a military spouse/domestic partner

Compensation range: The salary range for this position is: $85,040 - $162,550.

Compensation: USAA has an effective process for assessing market data and establishing ranges to ensure we remain competitive. You are paid within the salary range based on your experience and market data of the position. The actual salary for this role may vary by location.

 

Employees may be eligible for pay incentives based on overall corporate and individual performance and at the discretion of the USAA Board of Directors.
