In the position, you’ll be a trusted partner to the CEO, Chief of Staff and the Executive Management team — bringing structure, anticipating needs, and making sure key meetings, events and forums and related travel and administration are planned and executed with quality. Main responsibilities:

  • Own end-to-end calendar management and meeting logistics for the CEO, including coordination with internal and external stakeholders and acting as a gatekeeper for requests.
  • Prepare meeting agendas, briefing packs and follow-up actions; handle sensitive/confidential correspondence and coordinate responses on the CEO’s behalf.
  • Coordinate CEO travel and logistics, and manage related administration (including expenses and approval flow for relevant expenses).
  • Support the Chief of Staff with planning, execution and follow up of Executive Committee (ExCo) meetings and selected events (logistics, catering, scheduling), ensuring smooth delivery and clear outputs.
  • Act as stand-in ExCo Secretary when needed, working under the Chief of Staff’s direction
  • Supporting Executive Committee and Senior Management team with the planning and co-ordination of cross-functional meetings and events
  • Contribute to planning and execution of internal/corporate events in collaboration with Internal Comms and other functions.

  • Experience: Previous experience as an Executive Assistant and/or in administrative support for senior forums; experience from banking/finance or management consulting is a plus, though not a requirement.
  • Education: minimum Bachelor-level degree or compensatory relevant experience.
  • Competencies & skills: Strong administrative capability; confident with MS Office (incl. PowerPoint); solid written communication in English as well as Norwegian; experienced in performing desk-based research; comfortable using AI tools; strong coordination and stakeholder communication skills; driving licence.
  • Personal characteristics: Organized and proactive, independent, adaptable in changing environments, quality-conscious, open-minded, team-oriented, and execution-focused.
