Overview:

Sanofi is seeking an Executive Assistant for our Pearl River site. The ideal candidate must be a detail-oriented self-starter with excellent organizational, communication, and time management skills who will provide executive-level support to the Site Head while also serving as the site administrator. This dynamic role encompasses executive support, site communications, employee engagement, and event coordination. The position will have interactions with people at various levels and all functions across the Pearl River site and the broader Manufacturing and Supply, US organization.

Main Responsibilities:

Executive Support

  • Perform diverse office and administrative duties requiring tact, diplomacy, discretion, and judgment. A high degree of business acumen is required to ensure the ongoing operation of the site.

  • Manage the calendar of the Site Head, including scheduling meetings, travel arrangements, and prioritizing commitments

  • Coordination of leadership team meetings & schedule

  • Attend relevant site leadership meetings and follow up on action items

  • Maintain strict confidentiality in all business activities, especially on matters that have significant impact to the Company and involve strategic initiatives and plans

  • Assist the Site Head wherever needed to conserve their time and perform all other duties as assigned

Site Administration & Communications

  • Develop and distribute site communications including posters, newsletters, and announcements

  • Manage and post content on Viva Engage to keep employees informed and connected

  • Serve as a key point of contact for site-wide information and updates

  • Prepare status reports and documents needed for the operation of the site

Employee Engagement & Events

  • Plan, coordinate, and execute site events and employee engagement programs

  • Support initiatives that foster a positive workplace culture and team collaboration

  • Coordinate logistics for site-wide meetings, town halls, and special events

Onboarding Support

  • Help coordinate new employee welcome activities and orientation sessions

  • Create and maintain site orientation materials to ensure a positive onboarding experience

Procurement & Administrative Operations

  • Process purchase orders through eBuy/COUPA

  • Review, analyze, and recommend/take actions based on data gathered from a variety of sources

  • Maintain a wide range of independent contacts both inside and outside the organization

  • Assist in the development, implementation, and administration of company programs

  • Provide guidance, interpretation, and administrative assistance to client groups and colleagues

About You

Required Qualifications:

  • 5+ years of professional experience in a similar administrative/executive assistant role OR in a communication role, with considerable experience and knowledge working with Microsoft Office Suite including Word, Excel, PowerPoint, Visio, and Outlook.

  • High school diploma required; bachelor’s degree preferred.

Preferred Qualifications:

  • Experience with SAP, eBuy/COUPA, Concur, iLearn, Tririga

  • Video creation and editing skills (e.g., Adobe Premiere, Canva Video, Clipchamp, or similar tools)

  • Background in pharmaceutical or manufacturing environment

  • Event planning experience

The salary range for this position is:

$36.81 - $49.08
