We are looking for a highly organised and proactive Executive Assistant to provide dedicated support to senior leadership. This is an excellent opportunity for an experienced administrator who thrives in a fast-paced environment and enjoys managing complex schedules, coordinating high-level activities, and ensuring executives can operate effectively.

You will play a critical role in maintaining smooth executive operations, managing communications, coordinating events, and supporting senior leaders with high-quality administrative support.

What you will be doing:

  • Diary management: Manage complex executive calendars, arranging meetings and prioritising commitments to ensure time is used effectively. Prepare meeting logistics and circulate materials in advance where required.
  • Inbox and correspondence management: Monitor and manage email and mail, prioritising communications and responding where appropriate. Anticipate manager needs and proactively coordinate arrangements.
  • Stakeholder enquiries: Act as a key point of contact for telephone and face-to-face enquiries, screening calls and responding to internal and external queries professionally.
  • Travel coordination: Arrange complex domestic and international travel, managing last-minute changes and organising required documentation such as visas.
  • Office and budget administration: Support general office management including stationery ordering, filing, and mail distribution. Assist in monitoring departmental budgets and flag potential deviations.
  • Document production: Produce high-quality documentation including reports, presentations, and spreadsheets using Microsoft Office. Ensure work is accurate and delivered within agreed deadlines.
  • Communications and reporting coordination: Maintain distribution lists and draft communications as required. Coordinate regular reporting cycles for senior leaders, including board and committee reports.
  • Secretarial support and continuity: Help ensure continuity of administrative support by assisting with internal or external cover arrangements.
  • Event and project coordination: Organise and coordinate complex events such as leadership conferences and off-site meetings. Manage logistics, facilities, and hospitality arrangements to ensure professional delivery.

Key Experiences and any Qualifications

  • Experience supporting senior leaders or executive-level managers
  • Ability to work calmly under pressure and manage competing priorities
  • Excellent attention to detail with strong organisational skills
  • High level of Microsoft Office proficiency (Word, Excel, PowerPoint, Outlook)
  • Fast and accurate typing with strong administrative capability
  • Strong communication and stakeholder management skills
