What is the opportunity?
 

We are seeking a highly skilled and experienced Executive Assistant to provide exceptional support to SVP, Transformation and Enterprise Operations in Technology & Operations. The ideal candidate will possess a unique blend of administrative expertise, technical skills, and personal qualities that enable them to thrive in a fast-paced and dynamic environment. This individual will be responsible for handling a wide range of administrative and executive support tasks, maintaining confidentiality, and upholding the highest level of professionalism.
 

Responsibilities include but are not limited to:

  • Manage and maintain SVP calendar, coordinate meetings/conferences, ensure all materials/packages, and catering requirements are provided.

  • Act as the SVP delegate for email and phone during absences, handle/forward issues, prioritizing for SVP action upon return.

  • Maintain appropriate records in managing the team, including preparing and verifying monthly expense claims and invoices, travel and other expenses, supplies, and updating vacation and absence for the leadership team.

  • Provide general administrative support to SVP, ensuring seamless day-to-day operations.

  • Maintain confidentiality and handling sensitive information with discretion, while building trust and rapport with senior leaders.

  • Demonstrate exceptional organizational skills, attention to detail, and time management, with the ability to prioritize multiple tasks and manage competing deadlines.

  • Utilize advanced technical skills, including high proficiency in Microsoft applications such as Outlook, Word, Excel, and PowerPoint, to manage tasks, communicate, and present information.

  • Exhibit sound judgment, emotional intelligence, and effective communication skills, with the ability to interact with internal and external personnel, and provide proactive support to drive business results.

What do you need to succeed?

  • 5+ years experience supporting senior executives.

  • Ability to manage multiple tasks, prioritize, and maintain a high level of organization in a fast-paced environment.

  • Handle sensitive information with confidentiality and professionalism, while also maintaining a high level of trust and rapport with senior leaders.

  • Excellent interpersonal, communication (written and verbal) skills, with ability to work with all levels of management, staff, and external parties.

  • MS Office skills including MS Word, Excel, PowerPoint and Outlook.

  • Think critically, solve problems, and remain calm under pressure, while also being driven, curious, and eager to take on more responsibility over time.
