The Position
As the trusted right-hand to our Senior Vice Presidents (SVPs), you will provide high-level administrative and organisational support that enables our leaders to focus on strategic priorities. This role requires more than coordination—it demands an understanding of business priorities and impact, so you can effectively manage calendars, communications, and tasks in line with what matters most.
You will play a key role in ensuring meeting efficiency by preparing agendas, gathering pre-read materials, and confirming objectives so decisions can be made effectively. From prioritising meetings and emails based on strategic importance to preparing polished presentations, coordinating international travel, and leading projects with guidance, you’ll help keep operations running seamlessly and ensure leadership time is used to maximum effect.

Responsibilities
Include, but not limited to:
Calendar and Email Management
Manage extensive and strategic calendars for SVP-level leaders, prioritising meetings based on business impact and objectives.
Monitor and organise inboxes, support with email/task prioritisation, and respond to routine queries on behalf of the leaders.
Ensure leaders are fully prepared for meetings with agendas, objectives, and pre-read materials shared in advance.
Meeting Support
Attend all team and cross-functional meetings (excluding 1:1s), capture detailed notes, and circulate action points promptly.
Ensure clarity of meeting goals and decision-making requirements; proactively gather and share relevant materials beforehand.
Event Coordination
Organise and lead medium-scale events within the region, including town halls and departmental gatherings, ensuring flawless execution.
Communication and Relationship Management
Act as a key liaison between SVPs and internal/external stakeholders, maintaining professionalism and confidentiality at all times.
Foster collaboration with other assistants and teams across the organisation.
Travel Planning
Manage complex domestic and international travel arrangements, including flights, accommodation, and ground transportation, aligned with business priorities.
Presentation and Project Support
Build professional presentations with minimal guidance, leveraging departmental knowledge and input from leaders.
Lead projects with guidance, researching solutions, and identifying opportunities to improve efficiency for the leadership team.
Expense and Procurement Management
Ensure timely and accurate processing of expenses, purchase orders, and invoices, securing approvals within required timelines.
The Ideal Candidate
Experience: Minimum 3 years in a strategic Executive Assistant role, supporting senior-level executives in a dynamic, fast-paced environment. This includes hands-on experience with managing leaders’ agendas, email inboxes, travel arrangements, and expenses.
Strategic Mindset: Ability to understand business priorities and manage tasks accordingly, ensuring leaders’ time is used effectively.
Project Management: Demonstrated experience in managing or coordinating projects, ensuring timely delivery and stakeholder alignment.
Presentation Skills: Strong ability to create professional, visually compelling presentations with minimal guidance.
Communication Skills: Exceptional verbal and written communication skills, with the ability to engage professionally at all organisational levels.
Organisation: Outstanding organisational and time-management skills, capable of handling multiple priorities simultaneously.
Tech-Savvy: Proficient in Microsoft Office Suite and calendar management tools; experience with expense systems (e.g., Concur) is a plus.
Proactive and Resourceful: Self-motivated, solution-oriented, and able to anticipate needs with minimal supervision.
Confidentiality: High level of discretion and professionalism in handling sensitive information.
Team Player: Collaborative approach, supporting leaders and peers to achieve shared goals.
