Corporate Executive Assistant Responsibilities:

Manage expense reporting and approvals for executive team

Serve as point of contact for employee questions related to expense submissions, documentation, and compliance

 

Travel Coordination & Cost Management 

Coordinate and book all travel for executives & additional employees as needed

Handle hotel bookings, complete advance credit card authorizations, and follow up directly with hotels to obtain folios for expense reconciliation for AOR

Assist manager  w/ coordination and booking travel for corporate events

Proactively review reporting and utilize airline credits and cost‑saving opportunities to reduce unnecessary spending


Project & Departmental Support

Assist corporate departments with mail, shipments, supplies, kitchen maintenance

Calendar management for executives

 

Programs, Inventory & Asset Management

Manage the Remarketing Fuel Card Program, including inventory tracking and distribution

Tango gift card program to eliminate all the gift card fees and unnecessary, untracked purchases. 


Office Operations & Facilities Support

Order catering for meetings and corporate events

Order and maintain supplies for corporate office

Monitor, purchase and restock supplies for executive kitchen

Oversee routine office maintenance of executive areas and office machinery

Sort, distribute, and manage incoming mail, including scanning and forwarding items to remote employees

Package and ship corporate materials upon request

 

Communication & General Support

Manage a high volume of email inquiries addressing topics such as:

Expense and reimbursement questions

Password resets

General administrative assistance

Act as a reliable point of contact for ad hoc requests across departments, ensuring tasks are handled accurately and in a timely manner

 

Corporate Executive Assistant Skills & Abilities:

Microsoft proficiency in Word, Excel, PowerPoint, and Outlook is required. 

Proficiency  in communication skills, emphasis on spelling and grammar needed.

Organization and time management, project management, and ability to maintain confidentiality needed.

Executive support experience preferred.

Experience with meeting and event planning preferred.
