We are looking for a highly organised and proactive Executive Assistant to provide high-level administrative support to senior leaders while ensuring the smooth day-to-day running of our office environment.
This role combines executive support with coordination of office operations, helping create a well-organised, efficient and welcoming workplace for employees and visitors alike. The successful candidate will play a key role in enabling leadership productivity while maintaining a professional and well-functioning office.
Manage complex calendars, prioritising meetings and ensuring efficient scheduling across multiple stakeholders and time zones.
Coordinate domestic and international travel arrangements including flights, accommodation, visas and detailed itineraries.
Prepare meeting materials, presentations and documentation where required.
Act as a key liaison between executives and internal or external stakeholders, maintaining clear and professional communication.
Support the organisation of leadership meetings, team sessions and company events.
Ensure the office environment runs smoothly and remains a welcoming space for employees and visitors.
Act as the first point of contact for guests and support day-to-day workplace coordination activities.
Coordinate with external service providers such as building management, maintenance and other operational partners.
Support the organisation of internal events, employee initiatives and global company communications.
Assist in monitoring office-related expenses and coordinating supplies and services required for the workplace.
Work closely with other Executive Assistants to share best practices and ensure consistent support across the leadership team.
Contribute to improving administrative and operational processes that enhance efficiency across the organisation.
Highly organised with exceptional time management and prioritisation skills.
Comfortable managing multiple tasks and shifting priorities in a fast-paced environment.
Excellent communication skills, both written and verbal, with the ability to interact with stakeholders at all levels.
Discreet, trustworthy and able to handle sensitive information with professionalism.
Proactive and solution-oriented with a strong sense of ownership.
Confident using digital tools such as Microsoft Outlook, Teams, PowerPoint and other workplace platforms.
Experience supporting senior leaders in an Executive Assistant or similar coordination role.
