Position Location: We're all about flexibility! This will be a hybrid role based out of our corporate headquarters in Lakeville, MA with Mondays and Fridays remote. 

Ocean Spray is looking for a new Executive Assistant to join our team! We are seeking an experienced, highly organized individual to provide dedicated, high‑level support to two senior leaders with global responsibilities. This role is critical to enabling seamless global operations and requires a proven ability to manage complex international travel, multi‑time‑zone calendaring, and global meetings with precision and discretion.

The ideal candidate is proactive, calm under pressure, and adept at anticipating needs in a fast‑paced, globally connected environment. This role serves as a trusted partner and gatekeeper, operating with the highest level of integrity, confidentiality, and professionalism.

A Day in the Life...

Executive Support 

  • Serve as a trusted business partner and gatekeeper for two senior executives. 

  • Anticipate needs, prioritize competing demands, and proactively resolve issues. 

  • Handle sensitive matters with the highest level of confidentiality and professionalism. 

 

Calendar & Meeting Management 

  • Proactively manage complex calendars across multiple time zones.  

  • Schedule virtual and inperson meetings; confirm attendee availability and correct timezone alignment.  

  • For select meetings, prepare and distribute agendas and materials in advance; track followups and next steps 

  • Support leadership and staff meetings as needed. 

 

International Travel & Expense Management (Core Requirement) 

  • Independently plan and manage domestic travel, including flights, hotels, ground transportation, and logistics. 

  • Liaison with regional teams to ensure smooth logistics within the country of travel including handovers for international travel, including flights, hotels, ground transportation, and logistics 

  • Manage visas, passport renewals, and international travel requirements.  

  • Respond quickly and effectively to itinerary changes and travel disruptions.  

  • Submit and track expense reports; proactively collect receipts and ensure policy compliance.  

  • Leverage corporate travel and expense platforms and identify opportunities for improved efficiency. 

  

Operations & Projects 

  • Plan and execute department events, offsites, and onsite meetings. 

  • Support onboarding for new leaders /direct reports (access, equipment, orientation). 

  • Monitor invoices and partner with Finance to ensure timely processing. 

  • Contribute to process improvements and support special projects as needed. 

What We Are Looking For:

Qualifications 

  • 3–5+ years supporting senior executives in a complex organization.  

  • Proven experience managing international travel and visas (required).  

  • Exceptional organizational skills and attention to detail.  

  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.  

  • Strong written and verbal communication skills.  

  • Demonstrated discretion, diplomacy, and sound judgment.  

  • High school diploma required, additional education is a plus.

  • Executives have clear, well managed calendars with a forwardlooking view. 

  • International travel is seamless, compliant, and efficiently managed. 

  • Meetings and events are well-planned with minimal lastminute issues. 

  • The EA operates independently, anticipates needs, and adds visible value. 

Education:

Bachelor's or University Degree (Required)

Work Experience:

At least 3 Years of Experience

Annual Salary:

$65,700 - $90,310
