Executive Assistant North Africa

Morocco - Casablanca Full time

The position holder is responsible for carrying out executive administrative and organizational support to North Africa cluster lead.

Manage internal communications and related activities working with People Experience.

The role is also accountable to coordinate the overall safety of colleagues, contractors, and visitors, and facilitate resolution of difficult issues and problems that arise within scope of the responsibilities of the role, while handling all duties with a high degree of integrity, professionalism, and confidentiality.

PRIMARY TASKS:

Executive and administrative operations:

  • Manage North Africa cluster lead agenda in a reliable and pro-active manner.
  • Coordinate for the right functioning of North Africa Cluster Lead in country or outside country planned meetings, including logistics. Visa, Travel arrangements, Hotel accommodation, Transfers, etc.
  • Lead the organization of the North Africa key strategic and operational meetings: North Africa Year Beginning Meeting, North Africa Leadership Team (LT) meetings, Town halls, Executive visitors, and all other events initiated by the cluster Lead or by People Experience.
  • Manage and coordinate Corporate and unbranded company events and activities.
  • Supervise and oversee office management activities and any specific projects related: i.e. Reception area renovation, meeting rooms equipment’s refresh, annual maintenance.
  • Secure Office Parking spots contract management and vendor payment.
  • Develop, create, and consolidate Manager’s presentations, business reports, highlights, and communication material.
  • Organize and manage department operations, procedures and automated systems representation and oversee adherence to department policies and procedures.
  • Expedite flow of work, follow up and anticipate priorities to ensure deadlines are met regarding all the business activities/priorities.
  • Manage relationships and Department contract initiation and maintenance with vendors and service providers, and following up on product and service deliverables
  • Ensure security, integrity, and confidentiality of data.

Colleagues communication :

  • Provide administrative support for colleagues Communication activities and processes, working with North Africa Cluster Lead and People Experience lead  
  • Work hand by hand with People Experience lead in the in country implementation of corporate initiatives
  • Support implementation of the internal brand related communications for North Africa cluster, while working with country brand teams to execute the internal communication plans and measure the results.
  • Lead disease awareness internal communication plan implementation, working closely with the country brand teams and ensure consistency and aligned approach across North Africa
  • Support generating content for internal communications material for various channels including town halls, videos, podcast, and intranet sites.
  • Ensure standardizing internal communication tools and templates for internal use by the different departments.

Overall safety of colleagues, contractors, and visitors

Site Security Officer SSO

  • Coordinate and manage all site operations related to colleagues’ security, site access (colleagues, contractors & visitors).
  • Coordinate with Global security team the implementation of new procedures and guidance.
  • Share the best practices, communication toolkits and templates with Algeria & Tunisia Site security officers.

Morocco (CMC) Crisis Management Coordinator

  • Ensure the Crisis Management Plan is maintained/refreshed on a bi-annual basis, ensure this plan is distributed to all CMT Team members.
  • Organize CMT meetings and follow up on pending actions.
  • Ensure effective crisis communication is implemented for all colleagues, coordinate and keep Global security Watch room updated.
  • Support CMT Lead with the emergency plan as needed.

Business Continuity Plan Coordinator BCP coordinator:

  • Coordinate with departments leads to create and gather all business continuity plans in one document summarizing a high-level overview of the recovery strategies for critical processes performed by departments.
  • Assessment of critical business activities of Casablanca site.

Morocco Driver’s Safety program manager

  • Responsible for implementing and overseeing the Driver Safety Program in Morocco: communication and follow up on the driver’s safety trainings completion for all Pfizer drivers.

Reunion des Délégués coordinator:

  • Follow up on the resolution of any request / issue reported by colleagues and drive policies update /improvement to ensure colleagues have the best workplace

LEVEL OF RESPONSIBILITY:

Activities are performed under the general direction of the North Africa cluster lead; however the incumbent is fully responsible for the operational / business results of his/ her job.

ESSENTIAL PERSONAL QUALIFICATIONS:

  • Minimum of 3 years of experience in office administration.
  • Strong analytical and project management skills
  • Strong organizational and planning skills
  • Strong self sufficiency to navigate and solve problems between the scope of the role
  • Excellent time management skills and ability to multi-task and prioritise work
  • Proficient in MS Office
  • Excellent written and oral communication skills in both French and English
  • Knowledge of business and management principles
  • Organized and Disciplined
  • Strong attention to detail.
  • Excellent interpersonal skills
