As an Executive Assistant, you’ll be providing comprehensive support to the Managing Director and other members of the executive team. This role requires exceptional administrative, communication, and organizational skills, with a keen ability to handle sensitive matters and maintain confidentiality. Your drive and ideas will help us move faster, improve smarter, and stay ahead of the game.
What you’ll do
You’ll take ownership of work that gives us our competitive edge, including:
Communication:
Collaborate with the executive team to identify and prioritize discussions, ensuring all necessary information is communicated effectively.
Manage the flow of information to and from the executive team, reviewing and prioritizing incoming communication, summarizing and distributing as needed.
Assist the MD with diary management, scheduling meetings, appointments, and liaising with attendees.
Prepare and submit expenditure reconciliations.
Maintain confidentiality and protect the integrity of company operations by handling sensitive information with discretion.
Serve as the go-to person for any questions or information required by executives, demonstrating a thorough understanding of company operations and priorities.
Provide support on various additional tasks and duties as assigned by the MD or executive staff.
Meeting Preparation:
Schedule and coordinate meetings on behalf of the MD and other members of the executive team.
Take an active role in setting meeting agendas, ensuring all key topics are covered, and following up on post-meeting action items and approvals.
Prepare reports, presentations, and communications for meetings as required.
Review, draft, and prepare documents and materials for meetings.
Take notes and record minutes during meetings, as needed.
Maintain an organized electronic filing system for documents and correspondence related to the MD’s meetings.
Travel Management:
Manage travel arrangements, including booking transportation and accommodation for the MD and executive team.
Ensure that travel itineraries are provided ahead of time, with all relevant details for a seamless trip.
Coordinate logistics and schedule adjustments as required during travel.

What you’ll bring

Strong verbal and written communication skills, with the ability to convey complex ideas clearly and effectively.
Experience working collaboratively in cross-functional teams, with a focus on achieving shared goals.
Expertise in managing multiple projects simultaneously, with a track record of delivering on time and within scope.
Exceptional attention to detail, ensuring high standards of quality in all outputs.
Ability to adapt quickly to changing environments and priorities, maintaining effectiveness in dynamic situations.
Business Administration Degree/Diploma or equivalent.
Proven experience as an Executive Assistant or in a similar role, supporting high-level executives.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to maintain confidentiality and exercise discretion in sensitive matters.
