Title and Summary

Executive Assistant

The Senior Business Assistant will support the BeLux Country Manager and will be based in Waterloo. The individual in this role will not only be a member of the BeLux team, but you will also coordinate operations within the function and will become a member of the Business Assistant community at Mastercard.

Role
• Perform general administrative duties to support day-to-day department operations: phone coverage; scheduling internal and external meetings; travel arrangements; expense reporting; maintaining and managing complicated calendar scheduling; generating copies; screening mail; filing; providing coverage for team members; help and support organizing events; ordering supplies and maintaining department and company records.
• Handle internal and external inquiries by screening calls, answering questions and redirecting to appropriate personnel.
• Serve as administrative liaison with others within and outside the company ; ensure effective communications on behalf of the Team
• Independent preparation of correspondence; memoranda; reports; presentations or other assigned documentation in specified software package.
• Assist with managing and/or tracking expenses.
• May research special topics; develop and produce reports as assigned.
• Prepare correspondence; memorandum; reports; presentations or other assigned documentation in specified software package.
• Administer programs; projects or processes specific to the operating unit served; and maintains spreadsheets or databases to monitor departmental information.
• Develop and produce reports as assigned


All About You
• Expert Administrative experience in a corporate environment interfacing with executive level management, directors and senior customers.
• Demonstrated ability to manage time; track and execute upon multiple commitments
• Ability to exercise discretion and appropriately handle confidential information
• Excellent customer service skills and ability to work in a team setting
• Intense attention to detail with strong verbal and written communications skills
• Thrives in an environment where priorities are constantly changing
• Good decision making and proactive problem solving skills
• Ability to analyze what is needed, learn how to find the information requested and respond promptly
• Proficient knowledge of MS Office Suite including expertise in Outlook; strong Word & PowerPoint skills; good Excel skills
• Fluent in English - French and/or Dutch are a plus
• Dynamic, open minded, having a strong team and collaborative mindset
• Experience in Finance department is an asset
