This position is responsible for coordinating and performing all administrative services in support of the Site Manager, in addition to other site staff members as assigned. This position performs a variety of highly confidential, secretarial, and administrative support duties directly for the Site Manager and other staff members by assisting with completion and follow up on priority work assignments and projects.

 

The role:

As an Executive Assistant, you will help drive our goals by:

  • Independently evaluates short and longer term work flow, sets priorities and performs a variety of diversified assignments in accordance with specifications and deadlines.
  • Writes, generates, proofs and edits correspondence, reports, presentations, etc., containing highly confidential business/personnel information in a timely, accurate manner in support of site staff utilizing a variety of word processing and spreadsheet software.
  • Answers, screens and directs staff incoming calls/e-mail and responds as directed to minimize interruptions that may detract from staff completion of priority business requirements.
  • Schedules travel arrangements and appointments for site staff; coordinates on and off-site conference/meeting schedules/logistics for internal and external personnel including transportation, lodging, dining, and preparation/distribution of itineraries.
  • Prepares and submits expense reports for site manager.
  • May be assigned regular functional area assignments and special projects in support of site staff requiring a thorough understanding of company policy and application of judgement when evaluating assignments.
  • Develops and maintains efficient filing/tracking systems (computer/paper) in support of staff to ensure coordination of all activities and prompt retrieval of critical information.
  • Tracks and orders all office supplies and equipment in support of assigned site staff.
  • Composes and prepares correspondence including required support documentation for approval by site staff as assigned.
  • Handles confidential and non-routine information.
  • Maintains scheduling of the site conference rooms as applicable.
  • Coordinates visitors and vistors’ schedules, working with appropriate impacted parties to minimize interruptions and deliver a good visitor experience.
  • Coordinate with vendors for basic manufacturing supplies in support of the warehouse and logistics teams.
  • Manages charitable donation budget and associated requests within site policy and guidelines.
  • Support sitewide communications through local displays, postings and other forms of communication.
  • Performs other related duties as assigned.

 

Key skills that will help you succeed in this role:

  • H.S Diploma required, Associates or Bachelors (Preferred)
  • 3-5 years direct administrative experience
  • Self-motivated individual with good time management skills
  • Excellent organizational skills and ability to multi-task – must be detail oriented
  • Proficiency in use of IT programs such as Microsoft Office - Word, Excel, Outlook, PowerPoint
  • Excellent written and verbal communication skills
