Job Description

The Role:

As an Executive Assistant, you will provide high‑level administrative support to the Head of Wealth Management Platforms while handling highly confidential and sensitive information with discretion and professionalism. The role requires a strong understanding of company operations, policies, and processes, as well as exceptional interpersonal and communication skills. You will exercise sound judgment in a fast‑paced environment, balancing multiple priorities with strong organizational and administrative capabilities. Responsibilities include complex calendar management, correspondence preparation, travel coordination, meeting planning, document management, and preparation of presentation materials. The Executive Assistant will work with limited direction, partnering closely with senior leadership while demonstrating tact, diplomacy, and attention to detail.

Responsibilities of the role:

  • Manage a complex calendar strategically to ensure optimal flow and prioritization.
  • Schedule and coordinate internal and off‑site meetings, including logistics, conference rooms, catering, and guest reception.
  • Create detailed calendar invitations with complete meeting information, links, locations, and prep materials.
  • Coordinate all travel arrangements, reservations, and related logistics.
  • Process expense reports and invoices accurately and in a timely manner.
  • Maintain and organize electronic files and records.
  • Handle phone and electronic communications, including screening and directing inquiries as appropriate.
  • Support departmental operations through onboarding assistance, document editing, and providing backup coverage to the administrative team.

Requirements of the role:

  • Professional, articulate, discreet, and personable, with exceptional written and verbal communication skills.
  • 7+ years of experience providing executive and personal assistant support to senior leaders.
  • Highly adaptable and able to thrive in a dynamic role where priorities evolve rapidly.
  • Reliable and trusted partner with a proven ability to build strong relationships with stakeholders.
  • Demonstrated ability to handle highly confidential information with discretion and sound judgment.
  • Highly organized, service‑oriented, and proactive in anticipating and resolving challenges.
  • Strong problem‑solving skills and the ability to perform effectively in a fast‑paced environment.
  • Technically proficient in Microsoft Office; experience with Concur and working across global, multicultural teams preferred.

The salary range in New York City for this position is $95,000 to $120,000/ year. The total compensation offered for this position includes salary and incentive pay and will vary based on skills, experience and location.
