The Executive Assistant provides executive and administrative support to assigned executives and their leadership teams. They serve as a key point of contact for internal and external communications and manage a wide range of responsibilities that ensure the executive office operates efficiently and professionally. This includes comprehensive administrative support and research for executives’ schedules, document preparation, correspondence, travel coordination, meeting logistics, financial reconciliations, outreach opportunities, mail, and maintaining a professional executive office image. The position requires strong judgment, initiative, and the ability to handle complex administrative work with discretion and professionalism.

What You’ll Do: 

  • Provides comprehensive executive administrative support by proactively managing complex calendars, travel (including international travel), meetings, and logistics to ensure executives can focus on highest value priorities.
  • Anticipates executives’ needs, prepares agendas and materials, coordinates events & visitors, and maintains clear communication across internal and external stakeholders while exercising discretion and confidentiality.
  • Handles executive correspondence, presentations, expense reporting, and budget tracking, often prioritizing or resolving matters on the executive’s behalf.
  • Acts as a trusted gateway and ambassador, upholds company values, supports executive-level initiatives, and adapts to additional responsibilities as organizational needs evolve.

What You’ll Need to Succeed: 

  • Bachelor’s degree in business administration or related discipline and 2+ years of experience as an Executive Assistant to a C-suite member or 6+ years of experience as an Executive Assistant reporting directly to senior management; experience working with global teams is a plus. 
  • Experience using electronic calendaring, communication, presentation, reporting, and travel booking tools across multiple executives / functions (examples: MS Office, Adobe Pro, DocuSign, Navan / Concur, Diligent), as well as other tools that streamline administrative workflows and support the introduction or improvement of automation to enhance efficiency and reduce manual work.
  • Demonstrated problem-solving, organizational, prioritization, and strong time-management skills. 
  • Ability to ethically handle sensitive and highly confidential information with impartiality, integrity, and professionalism.
  • Ability to thrive in a fast-paced, quickly changing environment while maintaining a positive and professional demeanor.
  • Ability to use verbal and written communication to build trust and strong relationships, effectively create reports and relate data, and communicate to a diverse workforce as well as external partners and guests.
  • Ability to meet travel, training, and safety requirements applicable to a product development environment, including: US Driver’s license, use of personal protective equipment, and occasional exposure to inclement / outdoor weather conditions.
