Hover is looking for an experienced Executive Assistant to support our Business Operations & Growth team. We are looking for an EA who is highly competent, eager to take on new projects, has exceptional communication skills, strong attention to detail, and is able to manage various priorities in a fast paced environment.

At Hover, we have a strong culture of self sufficiency; everyone from our CEO down is a Doer. Many of our executives are not used to having an executive assistant, so we are looking for someone who understands what great administrative support looks like for the executive as well as his/her team. Most importantly, in order to succeed in this role, you must genuinely care about the teams you are supporting. This means we are looking for someone who is comfortable integrating into a team and structuring their role in the way that's most beneficial for Hover, their team and other stakeholders. Our Executive Assistants are key culture carriers and contribute in ways that span beyond immediate EA responsibilities. 

You will contribute by

As an Executive Assistant at Hover, you will be joining a growing team of other Hover Executive Assistants who partner together to create cohesiveness across the company. This is a close-knit team that prides itself on teamwork, operating with a high level of integrity and confidentiality, and working collaboratively across the business. You will get the chance to learn about each of Hover's key organizations, and offer coverage across the Executive Assistant Team when necessary. This network will ensure you are supported in doing your part, which will include owning strategic management of the executive’s calendar, leveraging the executive’s time by ensuring prompt meeting coordination, and time management for various projects. 

Other responsibilities include:

Executive Support & Calendar Management

  • Manage and optimize executive calendars and task systems to ensure alignment with top priorities.
  • Anticipate shifting deadlines, business needs, and emerging priorities, adapting schedules and workflows accordingly.
  • Coordinate complex travel arrangements (domestic and international) and handle logistics with precision.
  • Act as a liaison between executives and internal/external stakeholders, ensuring smooth communication and follow-through.
  • Handle confidential materials and correspondence with discretion and professionalism.

Meeting Preparation & Follow-Up

  • Own meeting prep, structure, and documentation for internal and external meetings as needed.
  • Ensure executives are briefed and equipped with the necessary materials and context as needed.
  • Track decisions and follow up on action items to ensure accountability and progress.
  • Synthesize insights from Slack, meetings, and shared documents to proactively move work forward and maintain alignment.

Project & Event Management

  • Lead and support end-to-end planning for key initiatives such as executive offsites, team rituals, onboarding programs, and leadership events.
  • Coordinate across departments to align logistics, deliverables, and communications.
  • Partner with finance, legal, and vendors to manage contracts, invoices, and basic budget tracking.

Collaboration with the EA Team

  • Partner with other Executive Assistants on company-wide administrative and strategic projects.
  • Share best practices and resources to foster a collaborative, low-ego team environment.
  • Step in to provide coverage and support as needed across the EA team.
  • Help evolve EA operations by suggesting process improvements and testing new tools or workflows.

Operational Excellence & Process Improvement

  • Continuously identify opportunities to improve efficiency through automation, tool adoption, and workflow design.
  • Champion operational excellence by driving consistency and scalability across processes.
  • Prepare and submit expense reports
  • Ad-hoc duties and projects assigned or self initiated

Your background includes

  • 3+ years of experience supporting executives, preferably in a growth stage tech startup
  • Bachelor’s degree or equivalent professional experience
  • High-level proficiency in Google suite, Zoom, Slack
  • Hyper-organized with the ability to problem solve 
  • Ability to anticipate needs and proactively take on additional responsibilities
  • A great sense of humor

Hybrid roles at Hover

Hover has Hubs in San Francisco and New York City, where we expect that all employees living within a 50-mile radius of our offices will come into their local Hover office at least three times a week to build rapport and foster organic connection. At this time, Hover is not considering fully remote roles.

The US base salary range for this full-time position is $104,000 - $166,000 annually. Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position across all applicable US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Your recruiter can share more about the specific salary range for your preferred location during the hiring process.
