The Role

We are seeking an organized, proactive, and energetic Executive Assistant to join our team in Austin, TX. In this role, you will serve as the operational force multiplier for our CEO and two key members of our leadership team.

As an Executive Assistant, you will coordinate and manage executive scheduling, prepare and organize essential projects, and handle correspondence to help manage executives’ bandwidth. This dynamic role requires the ideal candidate to have exemplary time management skills and the ability to identify and anticipate the executives’ needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals. To perform this job successfully, the individual must handle highly sensitive and confidential financial, legal, personnel, and institutional information while exercising professionalism and discretion. While the primary focus is business operations, this role requires a "no task is too small" mentality, occasionally assisting with personal administrative tasks to ensure our leadership team maintains peak focus.

Responsibilities

  • Manage complex schedules, triaging emails and tasks.
  • Proactively optimize calendars to ensure time is leveraged and spent effectively and efficiently.
  • Coordinate travel arrangements, itineraries, and logistics seamlessly.
  • Liaise with internal business units and external parties.
  • Provide meeting support and general administrative assistance.
  • Plan and coordinate team off-sites, community events, and client meetings.
  • Maintain confidentiality and protect operations by having a high level of discretion.
  • Assist with ad-hoc personal administrative tasks to free up executive time for high-level business priorities.
  • Travel may be required on an as-needed basis.

Qualifications

  • 2-4 years of experience in an Executive Assistant or Paralegal role.
  • Excellent verbal and written communication skills.
  • Great attention to detail and organizational skills.
  • Proficiency in G-Suite and ability to master software, including Slack, Notion, etc.
  • Keen judgment and an ability to learn quickly while assisting high-performing executives.
  • Bachelor’s degree or equivalent experience required.
  • Based in Austin with a reliable vehicle and valid driver’s license.
  • Passion for live entertainment is a plus.

Compensation

Anticipated total compensation for this position is between $55,000 - $70,000 per year.
