Executive Assistant

We are looking for a high calibre Executive Assistant to join our fast-paced and ever-moving business. The role will report into our Group Reward Director & Group Director HR Operations & Transformation and will provide professional, diligent, and pro-active day-to-day diary and administrative support to senior members of our organisation.

This role requires attention to detail, solid organisational skills, and the ability to meet tight deadlines while balancing multiple critical requests. You will understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements. You will possess the ability to complete complex tasks quickly with little guidance, react with appropriate urgency to situations that require a quick turnaround, taking effective action without knowing the whole picture.

What you’ll do

  • Diary management and supporting logistics (office/room/desk bookings, visitor registration, etc)

  • Arranging and live-managing travel bookings, including overseas travel, ground logistics, visas, and itinerary support

  • Arranging 121 meetings, leadership meetings, all hands/ townhalls, cross- functional meetings, team offsites and social events and wider support on larger, more complex meetings and workshops

  • Collating and circulating updates for internal memos, reports, documents and minute taking as required

  • Processing and submitting expense reports using Oracle software

  • Communicating with third parties, employees, and senior managers on the telephone, in person or via email

  • Supporting the E2E process for Procurement & invoicing - Adding suppliers, processing invoices, tracking Purchase orders

  • Additional administrative support, including assisting with PowerPoint presentations and various project documentation

  • Establishing good working relationships with the LT, EA’s across the business globally

  • Budget management – working with our Finance Business Partner to track costs such as travel, forecasting for the year; handling accruals with the team into the following year.

  • Support the wider Reward and HR Ops LT when required.

How you’ll do it

  • Demonstratable experience working in a similar role supporting leaders

  • Strong interpersonal and communication skills, with an ability to work with a variety of styles and personalities at all levels

  • High degree of personal integrity and used to working with confidential information and maintaining absolute discretion

  • Proactive, flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge

  • Able to stay calm under pressure in a fast-paced environment

  • Strong Proficiency in Microsoft Office, PowerPoint, Excel and other office productivity tools, with the enthusiasm to learn new systems

  • Flexible to travel on occasion
