Compensation Range

Hourly: $34.85 - $40.85 (Amount based on relevant experience, skills, and competencies.)

About This Job

This opportunity supports the President and CEO of Commerce Trust (“CT”), the Director of Financial Management, and the Director of Risk Management. This individual will be responsible for a wide range of advanced administrative and clerical support duties of a highly responsible, complex and confidential nature. The position requires a high level of tact and integrity due to frequent senior level contacts within the Bank, and with CT clients and the outside community. The person in this position must be able to use independent judgment and be proactive in managing the flow of the office, attending to issues that arise during the course of the day, and meeting the needs of various clients and other outside contacts.

Essential Functions

  • Manage calendars and coordinate various meetings involving senior management of CT and the Bank, CT Clients and outside boards, including scheduling meetings, preparing materials and reports, etc. Maintain sensitive financial and personnel information.

  • Monitor all incoming communications for the CT President and ensure that priority items come to his attention on a timely basis. Manage CT client communications proactively to increase client satisfaction and enhance the image of CT.

  • Maintain electronic and office files, including periodic elimination of outdated materials and create new files as needed. Record CT President’s client contract, etc, sales calls and business referral activities on appropriate internal CRM systems.

  • Support other Executives such as the Director of Financial Management, Chief Investment Officer, President of CT Markets, etc. with confidential Talent Management matters, financial and sales documents, committee minutes, reports, project driven work

  • Provide general administrative support by scheduling meetings and managing calendars, handling phone, mail, expense report management, office equipment and correspondence

  • Provide daily interaction with clients and assist with client service matters

  • Develop and maintain organizational charts

  • Perform other duties as assigned

Knowledge, Skills & Abilities Required

  • Strong knowledge of executive-level administrative practices, including calendar management, meeting coordination, and travel logistics

  • Strong knowledge of office operations and professional business communication standards

  • Ability to maintain confidentiality requirements, discretion, and handling sensitive information

  • Ability to support and interact with senior/executive leadership in a polished and professional manner

  • Ability to manage complex calendars, including prioritizing and adjusting quickly as needs shift

  • Ability to learn and utilize technology tools as needed

  • Motivated and organized self-starter with strong attention to detail and the ability to manage multiple priorities

  • Inquisitive, agile, and strong team player with excellent written, verbal, and interpersonal communication skills

  • Ability to remain adaptable and resilient to all situations with an optimistic outlook and cast a positive shadow that is aligned with our culture and Core Values

  • Advanced level proficiency with Microsoft Word, Excel, Teams, PowerPoint and Outlook  

Education & Experience

  • High School diploma or equivalent combination of education and experience required.  Associate’s degree preferred.

  • 5+ years of experience in professional client-facing environments, including providing administrative support to upper/executive-level management or high-level support within a legal office required
