What is the opportunity?
The Enterprise Strategic Client Group (ESCG) supports a select group of RBC’s most strategic and complex families through highly personalized integrated “One RBC” service. The Executive Assistant plays a critical role in enabling this mandate by delivering proactive, high-touch administrative and operational support to senior leaders within ESCG.
This role is responsible for end-to-end executive support, including calendar travel management, reporting and presentation support, client even coordination, and maintaining accurate and up-to-date client relationship management (CRM) information. Operating in a fast paced, highly agile, and client-centric environment, the Executive Assistant works closely with senior leaders and cross functional business partners to ensure seamless execution of priorities and initiatives
What will you do?
Executive & Administrative Support
Provide proactive and strategic calendar management, including prioritizing requests, resolving scheduling conflicts, booking meetings, and managing WebEx and conference logistics
Ensure executives are prepared and supported to meet deadlines and commitments by identifying opportunities to add value and improve efficiency
Coordinate complex domestic and international travel arrangements (flights, ground transportation, itineraries) in compliance with applicable travel policies
Expense, Invoice & Operational Management
Validate and process monthly expenses in a timely manner, ensuring adherence to policy guidelines
Collaboration & Team Support
Work closely with Executive Assistants across the organization to coordinate meetings, manage recurring calendar series, and support enterprise-wide initiatives
Provide administrative back-up to Senior Associates and the Office Manager during vacations or other absences
Client & Event Support
Provide administrative support for ESCG-sponsored and ad hoc client events, including invitations, RSVP tracking, client follow-ups, ticket distribution, and CRM updates
Partner with ESCG team members to support client deliverables, including data collection, management, and preparation of client and business presentation materials
What do you need to succeed?
Must-have
Minimum 5 years of experience in executive administration, executive assistant, or chief of staff–type roles supporting senior-level leaders
Exceptional attention to detail with a strong commitment to privacy, confidentiality, and discretion
Strong interpersonal and diplomacy skills, with the ability to engage effectively at all levels of the organization
Proven ability to prioritize competing demands in a collaborative, fast-paced environment
Highly adaptable, with the ability to navigate shifting priorities and work efficiently with minimal supervision
Advanced proficiency in Microsoft Word, PowerPoint, Excel, and Outlook, including the ability to create and edit documents and presentation materials with guidance
Strong organizational, planning, and scheduling capabilities, particularly in complex calendar management
