We are seeking a highly organized, proactive, and resilient Executive Assistant to provide seamless administrative support for the head of Engineering. This is a high-impact role designed for a professional who masters the art of logistics and takes pride in being the "backbone" of executive operations.
The ideal candidate will manage the complexities of a fast-paced engineering environment with quiet confidence and extreme precision. You will be responsible for protecting the leader's time, ensuring they are prepared for every engagement, and maintaining the flawless execution of day-to-day operations.
Key Responsibilities
- Complex Calendar Management: Act as the primary gatekeeper, managing high-volume, multi-timezone calendars. Proactively resolve conflicts and ensure "deep work" time is protected.
- End-to-End Travel Coordination: Plan and execute detailed domestic and international travel itineraries, including flights, accommodation, ground transportation, and visas.
- Meeting & Event Logistics: Coordinate leadership offsites, engineering all-hands, and other engineering group meetings. This includes managing every aspect in coordination with other functions for venue sourcing, catering, AV setup, and onsite support.
- Professional Gatekeeping: Act as a polished point of contact for internal and external stakeholders, filtering inquiries and managing executive correspondence with professionalism.
- Expense & Compliance: Manage timely expense reporting and ensure all travel and departmental spend align with company policy.
- Special Projects: Support ad-hoc administrative tasks such as team-building events, office-related logistics, or specialized engineering team requests.

Qualifications
- Experience: 7+ years in an administrative or executive support role.
- Leadership Support: Minimum 3 years of experience supporting VP-level leaders or above (preferably in tech or high-growth environments).
- Technical Proficiency: Strong mastery of Google Workspace (Gmail, Calendar, Docs, Sheets).
- Communication: Exceptional verbal and written communication skills with a professional, polished tone.
- Education: Bachelor’s degree.
