Position Summary:

The Executive Assistant is a critical partner to the Office of Corporate Affairs, providing proactive, high-level administrative and strategic support within a complex, highly regulated environment. This role maximizes executive effectiveness, ensures seamless operations and processes, and serves as a liaison between the executive and senior leadership, and internal/external stakeholders on matters of legal, regulatory, communications and policy significance. 

Primary Responsibilities:

  • Manage complex calendars, priorities, and travel logistics, anticipating needs and resolving conflicts to protect executive focus

  • Serve as a trusted point of contact and liaison between the Corporate Affairs teams, Executive Leadership Team, board members, and outside counsel

  • Orchestrate executive meetings, board member meetings, and high-level policy or legal briefings, coordinating materials and ensuring flawless logistics and secure communications

  • Orchestrate and support Corporate Affairs leadership team meetings, town halls and other Corporate Affairs events, ensuring flawless logistics.

  • Prepare, review, and edit executive-level confidential communications with the utmost accuracy and professionalism.

  • Ensure the smooth functioning of executive office facilities, equipment, experience, room scheduling, and onsite logistics in partnership with IT and other partners

  • Administer confidential records management, expense reports, and legal files in compliance with organizational and regulatory requirements

  • Evaluate, triage, and independently respond to sensitive calls, emails, and correspondence - exercising sound judgment, discretion, and absolute confidentiality

  • Support interactions with key external advisors and stakeholders, ensuring professional representation of the organization

  • Facilitate a collaborative team culture among executive and other administrative and corporate affairs support staff; champion process improvements to enhance operational efficiency and compliance

Required Qualifications:

  • Minimum 5 years of experience as an executive assistant supporting senior legal or policy executives, C-suite, or equivalent

  • Advanced proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint); experience with legal management and compliance systems a plus

  • Flexibility to work outside of standard business hours as needed

  • Ability to travel up to 10% (including plane)

Preferred Qualifications:

  • Exceptional written and verbal communication skills; able to draft and edit executive-ready, confidential materials

  • Demonstrated mastery of executive calendaring, travel, meeting/event coordination, and support for corporate affairs processes

  • High degree of discretion, integrity, and sound judgment in managing highly sensitive communications, including legal and regulatory information

  • Proactive, resourceful, and solutions-oriented, with capacity to anticipate needs in a fast-changing environment

  • Strong organizational, time management, and multitasking skills; able to deliver under pressure and tight deadlines

  • Proven ability to build relationships and communicate effectively with senior leaders, board members, and key external advisors and stakeholders

  • Adept at problem-solving, process improvement, and continuous learning in a matrix environment

  • Collaborative, team-oriented, and committed to operational and ethical excellence

Education:

Bachelor’s degree preferred or equivalent experience may substitute

Pay Range

The typical pay range for this role is:

$34.79 - $76.50

This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls.  The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors.  This position is eligible for a CVS Health bonus, commission or short-term incentive program in addition to the base pay range listed above.
