Job Description
- Provide timely, accurate and solution-oriented support to Senior Management on calendar management.
- Coordinate and develop presentations, including planning weekly Management Committees meeting agenda, materials/presentations and meetings with regional countries.
- Facilitate the coordination and timely circulation of meeting minutes post meetings.
- Support the bank’s Senior Management (local/Regional/Group) and Princely family visits in close coordination with other locations and the Board of Directors based in Singapore. This includes planning complex meeting itineraries.
- Manage extensive travel arrangements, including visa processing and maintaining the visitors’ list.
- Oversee event management for EBA and department workshops and offsites, Board meetings, LGT Graduate Program and ad-hoc Senior Management/bank-wide events.
- Explore and highlight cost-efficient methods for managing events including negotiating, procurement of hotels, venues and menu selection.
- Provide ad-hoc support to the PBA Management Office on assignments/projects/requests as required.
- Central Office in maintaining bank’s approver matrix and converting bank correspondences and forms for digital signatures by management.
- Handle HR-related tasks, including updating the monthly bank-wide Organisation Chart, preparing Induction Training presentation and coordinating BSC year-end reviews for Management and Front/Relationship Managers.
- Manage budgets, expenses and invoices through SAP Concur.
- Renew memberships and sponsorships, including collating Management’s registration details for external events.
- Update mailing list and manage the corporate gifts mailing process.
- Foster and contribute to positive collaboration and teamwork with all internal and external parties.
- Attend relevant internal and external trainings and courses.
- Proactively update knowledge of LGT policies and procedures, strictly adhering to applicable directives, rules and regulations.
- Work collaboratively as a team (Senior Executive Assistant with two Executive Assistants) supporting the Senior Management team to ensure comprehensive administrative support. They also back up and cover one another in times of absences.
Requirements
- Minimum of 5 years of experience in an administrative role, supporting senior management (C-suites) within consulting or wealth management space.
- Bachelor’s degree preferred.
- Strong analytical background with attention to detail, structured organization and planning skills.
- Demonstrate excellent time-management skills and the ability to organize and coordinate multiple calendars, concurrent tasks and projects.
- Ability to work self-reliantly, prioritize tasks, and be resilient under pressure.
- Highly driven and motivated to drive change.
- Experience with budget, expense and invoice management (preferably SAP Concur) is preferred.
- Advanced PowerPoint and Excel skills required to design and develop presentation materials tailored to specific business needs or requests.
- Fluent in English both written and spoken, with strong written and verbal skills.
- Ability to maintain confidentiality of information related to company and its employees.
