Your role @ Chanel 

We are looking for an experienced Executive Assistant (fulltime) to provide broad and comprehensive support working alongside the Managing Director of Benelux and Scandinavia. 

You will be at the heart of Chanel’s business in a dynamic and multicultural zone gathering 6 countries (Belgium, Denmark, Luxembourg, Netherlands, Norway, Sweden). You will be able to anticipate needs, manage sensitive information, and represent the Managing Director with professionalism and discretion. You will enable the Managing Director to focus on strategic priorities, helping across various dimensions, from time and travels management to supporting governance orchestration or office events. This role is based in Amsterdam. 

The Impact You Can Create at Chanel 

Provide administrative support to the Managing Director while being the primary point of contact for internal and external stakeholders on all matters pertaining to the office, including those of confidential or critical nature. 

Calendar & Priorities Management  

  • Management of the MD’s Outlook calendar and support in the communication and planning of meetings with the different stakeholders internally, externally, and with the region.  

  • Anticipate and manage priorities, schedule changes and meeting preparations with efficiency and discretion  

  • Ensure proactive time optimization and clear communication flow  

 

Travel & Logistics (T&E)  

  • Organize complex and evolving travel arrangements: flights, hotels, visas, transport, etc.  

  • Coordinate itineraries for internal visitors and ensure smooth execution  

  • Track budgets and negotiate with vendors for travel, gifts, and internal events  

  • Encourage sustainable travel practices where relevant  

  • Manage Concur claims and related expense processes with accuracy and timeliness  

 

Administrative & Confidential Support  

  • Draft and edit emails, presentations (including coordination), and internal/external communications  

  • Handle confidential documents and sensitive information with the utmost discretion  

  • Maintain and update internal databases and reporting tools 

  • Preparation of onboarding plans for new arriving direct reporting line team members  

  

Stakeholder & Office Coordination  

  • Act as the central liaison between the MD and all departments ensuring fluid communication, timely delivery of key messages and developing a good working relationship with other assistants within the European region  

  • Coordinate external meetings and follow-ups with clients, partners and essential stakeholders for the company. 

  • Oversee the selection and distribution of corporate gifts and thank-you items  

 

VIP Visits & Event Management  

  • Coordinate high-level visits: agenda, transport, catering, reservations, dietary needs  

  • Organize internal events and seminars, liaising with venues, suppliers, and guests  

  • Ensure alignment with CHANEL’s sustainability commitments (local vendors, low-impact practices, waste reduction)

What You Will Bring 

At least 8-10 years of experience as an Executive Assistant in a multicultural environment, ideally within the luxury or the hospitality sector  

An approachable, kind and client-orientated demeanour

Excellent interpersonal and  communication skills, with a collaborative mindset  

Great attention to detail, exemplary organisation and coordinating skills 

Strong sense of discretion, ethics, and professionalism  

Fluent in English; French is a plus  

Mastery of Microsoft Office, Outlook, SharePoint, and Concur  

Strong adaptability, resilience, and composed under pressure  

Emotionally intelligent and culturally aware, with a strong team spirit  

Fulltime available and living in/around Amsterdam
