Role Overview
Cboe is seeking a highly motivated and collaborative Executive Administrative Assistant to join our professional and friendly team. The Executive Administrative Assistant will provide high‑level administrative, operational, and event‑planning support to senior executives. This role manages complex calendars, oversees travel logistics, coordinates major departmental activities, supports board‑level processes, and contributes to the planning and execution of internal events.
Your responsibilities will be:
Executive Support
- Manage complex calendars and scheduling for multiple senior leaders, including prioritizing requests, resolving conflicts, and ensuring executives are prepared for upcoming commitments.
- Coordinate domestic and international travel for executives, including itineraries, accommodations, transportation, and travel documentation.
- Provide day‑to‑day administrative support, including document preparation, meeting briefings, and communication on behalf of executives.
- Serve as an ambassador of the firm to visitors and external stakeholders
Meeting & Program Coordination
- Coordinate TechOps Board Meeting materials for the Legal Team.
- Manage recurring institutional programs such as Monthly Exec & S/VP Small Group Gatherings, KC SMG & SDDG Gatherings, quarterly New Hire Orientations, and quarterly Strategy Sessions.
- Maintain meeting agendas, attendee lists, and follow‑up items.
Administrative Operations
- Administer Purchase Orders and collaborate with Finance and Infrastructure partners.
- Submit and manage Board member expense reports, including travel and car service needs.
- Maintain executive files, departmental records, and confidential materials.
- Handles all guest interactions with the highest level of hospitality and professionalism, accommodating special requests whenever possible
Event Planning & Execution
- Assist the Events Team with planning and execution for internal and external events: department meetings, offsites, retreats, celebrations, trainings, and team‑building activities.
- Coordinate venues, catering, AV, décor, materials, transportation, vendor management, and budget tracking.
- Develop event timelines, run‑of‑show documentation, and manage on‑site event support.
- Support hybrid/virtual event logistics and technology.
- Guest and visitor centricity and understanding the importance of guest’s preferences Communication & Relationship Management
- Serve as a liaison between executives, internal teams, and external partners.
- Draft correspondence, announcements, presentations, and meeting summaries.
- Handle confidential information with discretion and professionalism.
- Serve as an ambassador of the firm to visitors and external stakeholders

Our pay ranges are determined by a number of factors, including, but not limited to, role, experience, level, and location. The national new hire base pay range for this job in the United States is $72,250-$89,250. This range represents the minimum and maximum base pay the company expects to offer for new hires working in the position full time. If you live in one of the following areas or if you work in a Cboe office in the following areas, the range may be higher according to the geographic differentials listed below:
US Geographic Differentials:
110%: Austin TX, Chicago IL, Denver CO, San Diego CA
115%: Los Angeles CA, Seattle WA
120%: Boston MA, Washington DC
125%: New York City NY
130%: San Francisco CA
Within the range, individual pay is determined by a number of factors, including, but not limited to, work location, job-related skills, experience, and relevant education or training. In addition to base pay, our total rewards program includes an annual variable pay program and benefits including healthcare (medical, dental and vision), 401 (k) with a generous company match, life and disability insurance, paid time off, market-leading tuition assistance, and much more!
