We are currently looking for “Executive Assistant” to provide seamless support to our Area Managing Director, East Mediterranean (Area MD, EME). Based at our Istanbul, Türkiye Headquarter, you will be accountable for a wide range of administrative tasks including general office administration & secretarial support roles, calendar management, travel arrangements. Expense reporting, preparing material and presentations for senior audience and executive stakeholders, assisting events such as townhalls and company events/social activities are also part of the duties.

Key responsibilities:

  • Provide proactive secretarial/administrative support on a day-to-day basis
  • Handle calendar management; own and proactively keep the calendar updated incl. meeting schedules, materials, presentations and ensure meeting follow-up (deadlines are met, and events are planned well in advance, agendas ready, and actions logged)
  • Organization and/or event management of town halls, offsite meetings, conferences, meetings, workshops and social gatherings. Act as the focal point for all levels of participants and exhibit constant care
  • Play key role in high-level visitor trips, ensure a strong presence and active participation
  • Take care of the travel management (including visa and bookings)
  • Support approval process for invoices and other administrative processes (ie: absence, payments etc.)
  • Act as bridge between leader, team and stakeholders within matrix environment
  • Support and ensure on and offboarding, engagement of Leadership team
  • Collaborate with other Leader Assistants; manage coordination at Area/Region level on behalf of Area MD when required
  • Build internal network within EA community to stay up to date on internal policies and procedures
  • Take part and show leadership at different assignments and projects, prepare communication, share materials and coordinate different activities
  • Resolve day-to-day practical queries including IT Service Desk and HR coordination
  • Make sure office supplies are available
  • Ensure a trustworthy relationship with the Area MD, Leadership Team, and other stakeholders in the organization
  • Preserve a keen awareness of business operations, objectives and align tasks accordingly
  • Maintain strict confidentiality and protect sensitive information
  • Manage relationship with all levels of the organization diligently
  • Adhere to and strictly follow compliance policies. Be a role model and representator of Maersk behaviors and values

We are looking for:

  • University degree with appr. 8 years of experience in assisting leaders in a multinational and matrix organization
  • Highly organized, detail-oriented and service-minded professional capable of managing shifting priorities and multiple demands in a fast-paced environment
  • Ability to handle stressful situations, finding solutions to different challenges
  • Deep understanding and familiarity with compliance policies (ie: gift policies, ethical conduct and other regulations)
  • High spirited, persistent and takes pride that all tasks are delivered and at high quality
  • Exceptional communication, presentation, and relationship-building abilities, with a focus on confidentiality
  • Interest in company’s industry and business operations, capability to prioritize tasks appropriately
  • Tech savvy with both MS Office (Excel, PowerPoint and Outlook) and conference room equipment
  • Advanced verbal and written communication skills in English and Turkish
