General Summary:
Under limited supervision, provides the highest level of administrative support for the Vice President of Marketing. This includes complex and confidential support services, such as preparing reports, sustaining office organization and workflow; and providing liaison between management and other organizational units, and external customers to Dallas Area Rapid Transit.
Essential Duties and Responsibilities:
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Supports the VP of Marketing in administrative and clerical duties such as scheduling meetings, organizing, maintaining files, and assisting in department communications and activities.
- Arranges travel, meetings, seminars, and other special services.
- Reviews and directs actions on Board agenda items and EVP, Board, and President memorandum requests for the Department.
- Composes written materials requiring independent judgment about the content and prepares responses to inquiries when necessary. Handles and directs inquiries regarding department activities.
- Maintains the annual calendar across the department for personnel and marketing action items.
- Participates in and takes record of meetings as assigned.
- Communicates with various levels of management and external vendors.
- Assists in the preparation of PowerPoint presentations as well as reports.
- Coordinates and participates in Direct reports and department meetings, activities, and follow-ups.
- Performs other related duties as assigned.
MINIMUM KNOWLEDGE SKILLS AND ABILITIES REQUIRED:
Note: An equivalent combination of related education and experience may be substituted for the below stated minimums excluding High School Diploma, GED, Licenses, or Certifications.
- Associates degree from an accredited college or university in Journalism, Public Relations, communications, or a related field. Bachelors degree is preferred.
- Four (4) years of relevant experience in an executive-level office or related Communications environment.
- Bilingual preferred.
- Pass a physical (medical) examination that includes a drug screen in order to operate DART non-revenue vehicles.
- Proficiency of PC software applications to include Microsoft Office or other related software applications.
- Knowledgeable in theories, principles, and practices of executive support and communications.
- Skills to analyze data and create basic spreadsheet formulas.
- Independent, and self-initiator.
- Analytical and creative skills to find solutions to complex interpersonal, technical and administrative problems.
- Ability to communicate effectively orally and in writing; various forms of communication, including non-verbal, formal, informal, face-to-face, internet, etc.; interact professionally with various levels of DART employees and outside representatives.
- Ability to be dedicated to meeting the expectations and requirements of internal and external customers. Gets first-hand customer information and uses it for improvements in products and services. Acts with customers in mind. Establishes and maintains effective relationships with customers and gains their trust and respect.

WORKING CONDITIONS:
Works in an environment where there is minimum exposure to dust, noise, or temperature. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting DART's operating facilities, assuming incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
