Job Title: Executive Administrator – GPTPMS

Position Summary

The Executive Administrator provides high‑impact administrative and operational support to the Senior Vice President and Vice President of Global Procurement. This role operates as a trusted partner, enabling executive effectiveness through proactive calendar management, coordination of complex initiatives, and seamless execution of business operations. The ideal candidate demonstrates exceptional judgment, discretion, and the ability to navigate a fast‑paced, global, matrixed environment.

Key Responsibilities

Executive & Business Support

  • Provide comprehensive administrative support to the SVP and VP, including complex calendar management, meeting coordination, travel logistics, and expense management
  • Serve as a central point of coordination for executive priorities, proactively managing deadlines, follow‑ups, and key deliverables
  • Prepare executive‑level materials such as agendas, briefing documents, presentations, and meeting notes
  • Support preparation for senior leadership meetings, operating reviews, and external engagements

Stakeholder & Communication Management

  • Act as a liaison between executives and internal/external stakeholders, ensuring timely, professional, and thoughtful communication
  • Coordinate across Global Procurement, Finance, Legal, HR, and other partners to enable smooth leadership interactions
  • Manage confidential and sensitive information with the highest level of discretion and professionalism

Operational & Planning Support

  • Support planning and execution of leadership team meetings, offsites, and events
  • Track key action items and commitments across leadership forums to ensure alignment and follow‑through
  • Assist with onboarding of new leaders or team members within the Global Procurement organization
  • Identify opportunities to streamline administrative processes and improve efficiency

Financial & Administrative Activities

  • Manage expense reporting, purchase requisitions, and invoice processing as needed
  • Maintain organized records, files, and reference materials for executive use
  • Support budget tracking or administrative reporting activities where applicable

Qualifications

Required

  • 5+ years of experience supporting senior leaders (VP level or above) in a complex corporate environment
  • Demonstrated ability to manage multiple priorities, shifting deadlines, and competing demands with poise
  • Strong written and verbal communication skills with an executive presence
  • High level of professionalism, discretion, and business judgment
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word)

Preferred

  • Experience supporting leaders in Procurement, Finance, Supply Chain, or other global enterprise functions
  • Experience operating in a global and matrixed organization
  • Proven ability to anticipate executive needs and operate independently
  • Experience coordinating across time zones and geographies
