Role Summary

The Executive Administrative Assistant provides high-level administrative, operational, financial, and analytical support to the leadership team. This role combines traditional executive support with hands‑on data analysis, workflow coordination, and financial processing. The ideal candidate is highly organized, detail‑oriented, and comfortable operating across sensitive business, financial, and operational information.

Key Responsibilities

Executive Support

  • Manage calendars, meetings, travel, and logistics for the leadership team.
  • Support preparation of executive-level presentations, communication briefs, and leadership updates.
  • Support communications and coordination across Product Line, Operations, Engineering, Finance, and Program Management.
  • Maintain strict confidentiality and demonstrate excellent judgment.

Financial Administration

  • Prepare, submit, and reconcile expense reports.
  • Generate, submit, and track purchase orders (POs) for travel, services, subscriptions, consulting support, materials, and other business needs.
  • Maintain supporting documentation for audits, reviews, and finance compliance.
  • Monitor PO status, delivery confirmations, and invoice approvals, escalating issues as needed.

Data & Business Analysis

  • Pull, clean, and analyze data from ERP/MRP systems, CRM platforms, and finance tools.
  • Build and maintain Excel scorecards, dashboards, and weekly/monthly reporting packages.
  • Prepare charts and insights for staff meetings, QBR/MRB decks, and strategic reviews.
  • Support KPI tracking, including bookings, revenue, EBIT, OTD, quality metrics, and pipeline activity.
  • Conduct ad-hoc analysis for pricing, margin trends, inventory, operations throughput, etc.

Operational Coordination

  • Track action items, deadlines, and deliverables across cross-functional teams.
  • Support workflow processes for proposals, change approvals, customer engagements, and executive reviews.
  • Maintain key operational documents such as org charts, distribution lists, trackers, and templates.
  • Capture meeting notes, distribute follow-ups, and ensure on-time completion of commitments.

Required Qualifications

  • 5+ years supporting senior executives in a technical, operational, or business environment.
  • Strong skills with Excel (pivot tables, VLOOKUP/XLOOKUP, conditional logic, data cleansing) and proficiency in PowerPoint and Word.
  • Experience with expense report systems (e.g., Concur, SAP, Deltek) and purchase order workflows.
  • Excellent organizational, communication, and coordination skills.
  • High professional maturity and ability to manage sensitive information.
  • Comfortable working independently in a fast-paced engineering/manufacturing environment.

Preferred Qualifications

  • Experience in aerospace/defense, advanced manufacturing, or technology.
  • Knowledge of ERP systems (Microsoft XA, SAP, Oracle, Costpoint, etc.).
  • Experience with Power BI or similar business intelligence tools.
  • Basic familiarity with SQL or Python is a plus, but not required.
  • Prior experience supporting a P&L leader or multi-disciplinary technical team.

  

Salary Range:

$77,900.00-$103,800.000
