Program Description:

The BLITS 3.0 Program supports the mission of the 66th Air Base Group to secure information systems, maintain mission assurance, and ensure operational readiness. This role supports enterprise cybersecurity operations by leading vulnerability management efforts across mission systems and infrastructure supporting installation and enterprise operations.

Position Description:

The Executive Administrative Analyst provides high‑level administrative support to senior leadership while managing key operational and financial compliance processes. This role requires strong analytical and Excel skills, a solid understanding of accounting and financial concepts, and the ability to manage time sheet compliance and reporting with accuracy and discretion. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast‑paced environment.

Job Responsibilities:

  • Executive & Administrative Support
    • Provide direct administrative support to senior leaders, including calendar management, meeting coordination, travel arrangements, and document preparation.
    • Prepare professional correspondence, presentations, reports, and meeting materials using Microsoft Office tools (Word, Excel, PowerPoint).
    • Manage confidential information with integrity and discretion.
  • Financial & Analytical Support
    • Assist with financial tracking, budget updates, and variance analysis.
    • Prepare Excel-based reports, dashboards, pivot tables, and data summaries.
    • Reconcile data from multiple systems and identify discrepancies or trends.
    • Support invoice processing, expense reports, and subcontractor coordination as needed.
  • Timesheet & Compliance Management
    • Oversee timesheet accuracy, submission compliance, and corrections across the organization or assigned department.
    • Work with managers and employees to resolve discrepancies related to charge codes, approvals, or reporting requirements.
    • Prepare compliance metrics and weekly/monthly reporting.
  • Operational Coordination
    • Coordinate cross‑departmental activities, workflows, and process updates.
    • Maintain documentation, standard operating procedures, and administrative tools.
    • Support onboarding/offboarding processes for new team members.

Job Requirements:

  • Required
    • 3–5 years of administrative, operations, finance, or analyst experience.
    • Proficiency in Microsoft Excel (pivot tables, formulas, conditional formatting).
    • Strong understanding of basic accounting and financial principles.
    • Excellent communication, organization, and problem‑solving skills.
    • Ability to work with sensitive information and maintain confidentiality.
    • Secret Clearance (or ability to obtain one)
  • Preferred
    • Experience with timekeeping systems (e.g., Kronos, Workday, Deltek, SAP, or similar).
    • Experience supporting senior executives.
    • Experience in a project-driven or professional services organization.
